About The Position

The Accounts Receivable Specialist supports day‑to‑day accounts receivable operations under the direction of the Accounts Receivable Manager, primarily for the Theatrical Resources Division. This role focuses on customer account maintenance, cash application, collections support, and AR reporting assistance. This is a detail‑oriented, operational role based in Nashville, TN that requires a majority in‑office presence to support close collaboration with Accounting, Operations, and customer‑facing teams.

Requirements

• 1–3 years of accounts receivable, billing, or general accounting experience
• Strong attention to detail and accuracy
• Basic understanding of customer payments and receivables
• Ability to manage multiple tasks and meet deadlines
• Strong communication and organizational skills

Nice To Haves

• Experience in a project‑based, services, staffing, or payroll environment
• Familiarity with cash application and AR aging
• Experience in a multi‑entity or high‑volume environment

Responsibilities

• Assist with new customer setup and maintenance of customer records
• Ensure customer information, billing details, and payment terms are accurate
• Support updates to credit terms as directed by the AR Manager
• Apply customer payments accurately and timely (ACH, wire, check, credit card)
• Match payments to invoices and resolve unapplied cash items
• Assist with researching short‑pays, overpayments, and payment discrepancies
• Assist with outbound collection efforts on past‑due accounts
• Send payment reminders and follow‑ups per established collections procedures
• Document collection activity and customer communications
• Assist in preparing AR aging reports and customer statements
• Help track payment activity and support reporting requests
• Maintain accurate and organized AR documentation
• Assist with AR‑related month‑end close tasks
• Support reconciliations and ensure receivable balances are properly supported
• Help ensure revenue and cash receipts are recorded in the correct period
• Maintain organized files and supporting documentation
• Follow established internal controls and procedures
• Escalate issues or unusual items to the AR Manager
• Provide general accounting support as needed
