About The Position

We are seeking a highly organized and detail-oriented Accounts Payable Specialist to join our Finance team in Quebec. Reporting to the Accounts Payable and Payroll Supervisor, this role is responsible for overseeing invoice verification and processing and account payables for the Quebec programs, as well as conducting member compliance audits.

Requirements

  • Post-secondary education in administration, accounting, auditing, or related experience.
  • Minimum of 2 years in a financial, operations, or logistics role, preferably in a customer-focused business.
  • Bilingual in both French and English (written and spoken).
  • Strong attention to detail and analytical skills.
  • Fluency in French and English is mandatory.
  • Previous accounts payable experience.
  • Desire and willingness to learn and take on new tasks.
  • Proficiency in Microsoft Office Suite and familiarity with financial systems.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Ability to travel across the province.

Nice To Haves

  • Familiarity with Microsoft NAV will be an asset.

Responsibilities

  • Perform verification and coding of invoices and entry into the NAV system once approved.
  • Seek approval of invoices once verified.
  • Verification of quantities, rates, and calculations of all invoices to be paid for assigned programs based on supporting documents such as purchase orders, delivery orders, price lists, etc.
  • Record all invoices on purchase orders and pick-up requests to ensure no duplicate payments are issued.
  • Dispute invoices if necessary.
  • On a monthly basis, perform billing of assigned programs paid depots based on quantities of program materials shipped and received at the recyclers and individual transmission of remittance notices.
  • Monitor year-end accounts payable for outstanding invoices.
  • Plan and administer member-compliance audits as assigned. Verify members’ sales and remittances by comparing with the relevant documentation (products listing, GL accounts, quantity reconciliation)
  • Deliver recommendations and conclusion letter.
  • Issuance of the invoice for results, if applicable.
  • Work closely with the Quebec Senior Program Manager and the Finance team on financial matters relating to the Quebec programs
  • Support the QC team with the implementation of our new ERP system
  • Other duties as assigned.
