About The Position

Aurora Medical Spa, founded in 2006, is a fast-growing, multi-location company focused on building smarter systems, improving operational efficiency, and scaling responsibly. They are investing in technology, automation, AI tools, and better reporting systems. This role supports core accounting operations with an emphasis on payroll coordination, deadline management, reconciliations, and high-volume administrative accounting work. The ideal candidate is detail-oriented, organized, dependable, and motivated to improve processes through technology and automation. Success requires accuracy, calmness under pressure, flexibility with changes, ownership, clear communication, and a proactive approach to system and workflow improvement. This is a part-time, in-person office role based in Des Peres, Missouri.

Requirements

  • Bachelor’s degree in Accounting, Finance, or related field preferred, or equivalent relevant experience
  • 2+ years of accounting, finance, payroll, or administrative support experience
  • Strong Excel skills including formulas, lookups, pivot tables, and data organization
  • Strong attention to detail and organizational skills
  • Professional written communication skills
  • Ability to manage deadlines and shifting priorities effectively

Nice To Haves

  • Experience supporting payroll processing
  • Experience in multi-location or fast-paced operational environments
  • Familiarity with accounting systems such as NetSuite or QuickBooks
  • Experience using AI tools or automation platforms to improve workflows
  • Exposure to process improvement initiatives or operational scaling environments

Responsibilities

  • Support bi-weekly payroll processing and payroll-related data entry.
  • Gather and organize payroll information from multiple sources including email, messaging platforms, operational leaders, and internal systems.
  • Manage payroll deadlines while accurately handling last-minute adjustments and corrections.
  • Maintain documentation and ensure accuracy across payroll-related reporting.
  • Process accounts payable and vendor invoices.
  • Review and reconcile employee expense submissions and corporate credit card transactions.
  • Perform bank, cash, and system reconciliations.
  • Post journal entries and assist with month-end close activities.
  • Assist with fixed asset tracking, insurance schedules, and other accounting support tasks.
  • Maintain organization within accounting department inboxes.
  • Create filters, rules, labels, and workflows to improve email management and reduce missed items.
  • Ensure requests, approvals, and follow-ups are tracked appropriately.
  • Assist with financial reporting and data analysis.
  • Investigate discrepancies, recurring errors, and operational inefficiencies.
  • Support reporting across multiple locations and departments.
  • Help maintain accurate records related to gift cards, promotions, and other operational liabilities.
  • Identify opportunities to streamline repetitive or manual processes.
  • Use Excel, AI tools, and automation platforms to improve efficiency and accuracy.
  • Support operational improvement projects and workflow development.
  • Learn and adapt to new software and systems as business needs evolve.
  • Open, sort, scan, and organize physical mail and accounting documents.
  • Assist with various accounting department and operational support tasks as needed.
  • Collaborate with spa directors and operations leaders to gather information and resolve issues.
