About The Position

We are seeking a highly organized, detail-oriented, and proactive Office Administrator & Junior Bookkeeper to support daily office operations and core financial functions. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and takes pride in keeping operations and financial records accurate, efficient, and up to date.

Requirements

  • At least 3 years of experience in office management.
  • Proficiency in QuickBooks for bookkeeping, billing, and financial record management.
  • Strong understanding of basic accounting principles.
  • Hands-on experience with accounts receivable, accounts payable, and invoice processing.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to perform accurate data entry and maintain organized records.
  • Excellent organizational and multitasking skills in a fast-paced environment.
  • High level of integrity and ability to handle confidential information responsibly.
  • Strong written and verbal communication skills for interacting with leadership, vendors, and internal teams.

Nice To Haves

  • Experience in office administration and operations, including facilities coordination and supplies management.
  • Experience supporting trade show or event registrations and logistics.
  • Ability to develop, document, and improve office procedures and workflows.
  • Proficiency with Excel for data entry and basic reporting.
  • Demonstrated ability to prioritize tasks and manage competing deadlines.
  • Comfort working both independently and collaboratively within a small office environment.

Responsibilities

  • Oversee daily office workflow to ensure smooth and efficient operations.
  • Coordinate office supplies, facilities needs, and general office logistics.
  • Manage trade show registrations and related administrative tasks.
  • Provide comprehensive administrative support to leadership and internal teams.
  • Perform accurate data entry and maintain organized records and files.
  • Create invoices and manage billing activities using QuickBooks.
  • Maintain accurate financial records, including accounts receivable and accounts payable.
  • Process invoices and review purchase orders for accuracy and completeness.
  • Apply fundamental accounting principles to support bookkeeping and financial tasks.
  • Develop, document, and maintain office procedures, policies, and workflows.
  • Manage multiple administrative and financial tasks simultaneously in a fast-paced environment.
  • Communicate professionally in writing and verbally with leadership, vendors, and internal teams.
  • Use Microsoft Office and Excel for reporting, data entry, and general office tasks.
