About The Position

To perform all clerical tasks in the school office as assigned and maintain accurate records of school accounts. This role requires the ability to work independently in meeting the public, handle incoming calls, type and reproduce forms, administer minor first aid, prepare information for support personnel, assist staff, prepare reports, and maintain accurate records. The position involves recording cash receipts and deposits, processing cash payments, acting as a counter signee for checks, submitting receipts and payable vouchers, balancing school accounts, reconciling bank statements, preparing requisitions, monitoring student/parent organization accounts, preparing purchase orders, receiving and verifying shipments, verifying invoices, maintaining property control inventory, managing petty cash, preparing forms for admission fees and transportation, preparing reports for charity drives, maintaining files on vandalism, theft, student insurance, and accident/incident reports. The employee must provide their own transportation for work-related responsibilities and perform other duties as assigned by the principal.

Requirements

  • Must pass the account clerk exam.
  • High School Diploma or equivalency.
  • Ability to establish and maintain accurate records.
  • One (1) year of clerical experience in bookkeeping or accounting and/or accounting certificate.
  • Good verbal and written communication skills.
  • Possess essential function of a general clerk.
  • Ability to accurately give and receive information via tele-communication systems.
  • Ability to communicate successfully and pleasantly with the public.
  • Ability to understand and interpret written and verbal instructions from supervisor.
  • Ability to work independently with minimal supervision.
  • Ability to learn and use various computer software programs.
  • Ability to work compatibly in group settings.
  • Ability to respond positively to supervision and to accept suggestions for improvement.

Nice To Haves

  • Experience in general office work or public relations work.
  • College credit in accounting.
  • Passing score on typing test of at least thirty (30) WPM with no more than three (3) errors.

Responsibilities

  • Perform all clerical tasks in the school office as assigned.
  • Maintain accurate records of school accounts.
  • Meet the public independently.
  • Answer incoming calls over the telephone and the intercom/P.A.
  • Type and reproduce forms and additional information as needed.
  • Administer minor first aid as required.
  • Prepare required information for support personnel on students as needed.
  • Assist staff members, answer routine questions and correspondence.
  • Assist in the preparation of various reports.
  • Maintain records accurately and neatly.
  • Record cash receipts and deposits.
  • Complete transactions of cash payments by check.
  • Act as a counter signee of all checks.
  • Submit receipts and payable vouchers to the accounting office.
  • Balance school accounts with bimonthly transaction computer printout.
  • Reconcile monthly bank statements.
  • Prepare and type requisitions.
  • Monitor accounts for students/parent organizations.
  • Prepare purchase orders with the approval of the principal.
  • Receive and verify all incoming shipments of merchandise.
  • Verify invoices and submit them to the principal for approval/payment.
  • Maintain property control inventory.
  • Maintain petty cash fund.
  • Prepare forms and checks for admission fees, bus transportation (game officials and policemen for field trips and other events).
  • Prepare reports for charity drives and related activities.
  • Maintain a file on acts of vandalism and theft.
  • Maintain a file on students' insurance and files accident/incident report claims.
  • Perform all other duties as assigned by the principal.
