About The Position

Residential & Hospitality Services is one of 17 departments reporting to the Division of Business Services. Consistent with the Business Services mission, our underlying philosophy is to provide our clients with high quality services in a fiscally responsible manner. Residential & Hospitality Services is a group of dedicated, innovative, and student-centered staff that oversee the on-campus living and dining, as well as conferences, programs and events hosted at Penn. The team works closely with other partners to provide students and guests with services that support living and learning at the University of Pennsylvania. Conference & Hospitality Services provides professional expertise for conference, programs, and events hosted at Penn. By showcasing the impressive array of facilities and resources the University has to offer, we strive to make Penn a destination of choice for meeting and event planners. The department is also responsible for the oversight of residential operations, facilities, and support services to the many academic programs, sports camps, meetings, and conferences happening on campus during the summer at Penn. The employment dates for this Summer's Hiring will be May 14, 2026 - August 15, 2026. If you are interested in a housing extension before and/or after your summer housing begins/ends, you may work as a Move-Out/In Coordinator (only available to Penn students currently enrolled in degree-seeking programs). Summer housing is provided for all summer staff positions below. Summer housing dates are May 14, 2026 - August 15, 2026.

Requirements

  • High school diploma or equivalent required
  • 1 to 2 years of progressively responsible customer service experience
  • Excellent customer service skills
  • Ability to adapt well to unexpected situations
  • Must take direction well and promote a team atmosphere
  • Strong work ethic is also a must
  • Must represent the University of Pennsylvania in a positive manner
  • Able to work collaboratively with students, administrators, and other members of the Penn community
  • PA-ACT 153 clearances to work with minors

Responsibilities

  • Serve as a front-line customer service representative and a central service provider for residential and visiting guests.
  • Provide administrative support to the Guest Services Manager and Residential Services Manager in managing access, emergency room assignments, and daily report logs.
  • Cooperate with the Information Centers to support move-in/move-out, address facilities issues, and cover other Information Centers as needed.
  • Assist in all phases of Information Center operations, including providing excellent customer service, creating move-in materials, managing access, and addressing facilities and housekeeping concerns.
  • Support and foster the customer service goals of Hospitality Services.
  • Assist the Residential Services Manager in overseeing the day-to-day operations of the Information Center.
  • Serve as the primary contact for Hospitality Services staff, FRES, Building Operations, residential program leaders, and other university partners.
  • Manage the Information Center, training, supervising, and assigning work to Guest Services Attendants in collaboration with the Residential Services Manager.
  • Assist with documenting, evaluating, and following up on facilities requests.
  • Help manage front-line emergency responses (e.g., fire alarms, facilities emergencies).
  • Participate in a weekly duty rotation during evenings and weekends and providing regular communication on all activities.
  • Serve in a cross-functional capacity, assisting in the operations of Hospitality Services.
  • Focus on a specific area (events, operations, front-line) while supporting the entire Hospitality Services team.
  • Answer the main phone line and email account, responding to customer inquiries.
  • Perform data collection and entry.
  • Communicate with clients and participants.
  • Ensure the accuracy of program content.
  • Assist with the preparation and distribution of materials.
  • Communicate with internal partners such as Housing, Dining, Catering, Transportation, and PennCard.
  • Perform physical, facilities-related, and logistical tasks to support summer operations, including assisting guests with move-in and move-out processes.
  • Provide set-up and breakdown support for large program events, move-in/move-out days, and parking/traffic control.
  • Conduct facility inspections to identify safety, housekeeping, and condition-related issues.
  • Distribute guest amenities, managing inventory, covering Information Centers as floater, and maintaining clean storage areas.
  • Train and supervise a team of Operations Assistants to ensure smooth and customer-focused operations.
  • Oversee logistical and operational projects such as signage, staffing, payroll, move-ins and move-outs, parking control, cart management, amenity delivery, and facilities inspections.
  • Schedule and assign work to inspection teams, ensure quality control, and handle inspections in a timely manner.
  • Lead weekly staff meetings and participate in a weekly duty rotation during evenings and weekends.
  • Act as a university liaison and campus resource for 30-60 students in on-campus housing.
  • Perform administrative, programming, and judicial duties related to residents.
  • Build relationships with residents, creating programming to support their needs, responding to academic, social, and personal concerns, and balancing student needs with institutional priorities.
  • Act as a university liaison and campus resource for approximately 200 students.
  • Manage the Summer Community Advisors.
