About The Position

The School Based Health Center Coordinator serves as a key member of the school-based health center team, supporting both clinical and administrative functions to ensure the smooth operation of services and delivering high-quality healthcare service. This role is responsible for direct patient care, front desk operations, vaccine management, office administration, and school coordination.

Requirements

  • Graduation from an accredited Medical Assistant Program.
  • Requires one of the following certifications: ( certification requirement may be waived for initial job placement, with agreement to obtain certification within the first 6-month period.) Must complete the ongoing continuing education and/or applicable membership requirements to maintain active certification.
  • American Medical Technologists (AMT) [Registered Medical Assistant (RMA)]
  • American Association of Medical Assistants (AAMA) [Certified Medical Assistant (CMA)]
  • National Healthcareer Association (NHA) [Certified Clinical Medical Assistant (CCMA)]
  • National Center for Competency Testing (NCCT) [National Certified Medical Assistant (NCMA)]
  • National Association for Health Professionals (NAHP) [Nationally Registered Certified Medical Assistant (NRCMA)]
  • American Allied Health (AAH) [Registered Medical Assistant/AAH (RMA/AAH)]
  • CPR certification required.
  • Requires at least one-year clinical MA work experience
  • Must have experience working with children/adolescents.
  • Must be skilled in taking vital signs/measurements, phlebotomy/venipuncture, and administering immunization/injections.
  • Requires strong organizational and management skills with the ability to multitask efficiently.
  • Basic computer skill required with Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat
  • Intermediate computer skill required with EHR/EMR/EDR/EPM software
  • The ability to understand and execute both oral and written orders.
  • Must have communication and interpersonal skills to effectively interact with students, parents, school staff, and healthcare providers.
  • Must have a reliable vehicle, a valid driver’s license with a satisfactory driving record and a minimum insurance coverage or available transportation to travel for the purposes of required Health Center business.

Responsibilities

  • Assist healthcare providers with patient care, primarily responsible for taking vital signs, obtaining medical history, and preparing patients for exam/procedure.
  • Perform routine laboratory procedures, including phlebotomy/venipuncture, urine specimen collection, capillary blood sampling, and other CLIA-waived testing.
  • Administer immunizations, injections, and medication refills per provider orders.
  • Assist with EKGs, obtaining cultures, removing sutures, and other procedural support as needed.
  • Ensure proper infection control practices and maintain cleanliness of client care areas.
  • Participate in referral and follow-up coordination for services not offered at the health center, including children seen in ER/urgent care.
  • Maintain accurate patient records in the electronic health record (EHR) system.
  • Oversee all vaccine management in compliance with Vaccines for Children (VFC) and Michigan Care Improvement Registry (MCIR) guidelines.
  • Ensure proper storage, handling, and inventory management of vaccines, including monitoring temperature logs.
  • Maintain compliance with state and federal immunization regulations, ensuring accurate vaccine documentation and reporting.
  • Educate patients and families about immunizations and obtain necessary consent documentation.
  • Order vaccines and maintain records for audits and compliance reviews.
  • Coordinate student scheduling in collaboration with school staff to minimize class disruptions.
  • Arrange patient transportation and ensure seamless communication between the clinic and the school.
  • Provide clear instructions to patients and families regarding appointments, follow-ups, and referrals.
  • Oversee daily operations of the medical office, ensuring a smooth and efficient workflow.
  • Greet and communicate effectively with patients, families, clinicians, and school staff.
  • Manage patient registration, data entry, scheduling, and follow-up calls.
  • Answer and direct phone calls, screen inquiries, and take messages as appropriate.
  • Process and maintain patient records, including updating consent forms, insurance, and demographic information.
  • Ensure a high level of customer service and patient satisfaction.
  • Maintain and order office and medical supplies, ensuring adequate stock and proper equipment functionality.
  • Coordinate maintenance and repairs of office equipment and facilities.
  • Maintain a safe, secure, and pleasant work environment.
  • Participate in chart reviews and other quality improvement (QI) initiatives to enhance patient care and clinic efficiency.
  • Compile patient census data and prepare administrative reports as assigned.
  • Ensure all documentation, data entry, and reporting meet regulatory standards.
  • Other job-related duties as assigned.
