About The Position

The Workplace Solutions Coordinator will be the first point of contact for employees, clients, and visitors. This role involves managing the front desk, directing phone calls, greeting visitors, and multitasking in a fast-paced environment. The ideal candidate is proactive, organized, adaptable, and an active thinker who seeks the best approach. This position is responsible for providing an exceptional workplace experience and ensuring the office remains clean, organized, and functional.

Responsibilities

  • Provide an exceptional workplace experience - from answering the main line to greeting someone at the front door
  • Inventory, track, & order office and kitchen supplies; ensure workspace and kitchen are neat, clean, & organized
  • Open, sort, and distribute incoming mail and packages; notify recipients upon delivery.
  • Provide clerical support for outgoing packages, including coordination of IT equipment shipments.
  • Handle event planning to include involvement with volunteering initiatives, social events, all-hands meetings, and new hire orientation coordination
  • Oversee various vendors and related duties including maintenance, equipment, furniture, catering & food/beverage, office cleaning, and errands
  • Manage invoicing and expenses via Coupa system
  • Ensure the office remains clean, organized, and functional at all times.
  • Coordinate with building management to issue or update parking access and key fobs as needed.
  • Handle and schedule internal meetings as well as conference room coordination and support
  • Prioritize and manage multiple projects simultaneously
  • Support jobsite badging
  • Provide administrative support including document preparation, reporting, data entry, recordkeeping, and other tasks as assigned to ensure efficient office operations.
