We are seeking a Workplace Experience Manager to oversee daily office operations, ensuring our NYC workspace runs smoothly, efficiently, and in compliance with company and industry standards. In this role you will coordinate administrative functions, manage vendors and facilities, support onboarding and employee experience, provide light executive support, and serve as a central point of contact for internal teams. You will take full ownership of the office's day-to-day organization, proactively anticipating what it needs while making sure it feels warm and welcoming for the team day to day. You'll also help plan and execute larger projects like office moves and company off-sites. This position is based in our New York City office and requires being on-site five days a week. We are unable to consider remote workers or individuals who are not currently based in the US and legally authorized to work in the US.

Requirements

  • 3+ years' experience working in administrative roles and managing offices.
  • Demonstrated proactive attitude towards identifying and acting on process improvements, especially through the use of software tools.
  • Experience working with teams that are distributed across different locations.
  • Experience collaborating with other administrative personnel to get tasks done.
  • Experience coordinating logistics for larger projects such as office moves, buildouts, or offsite events, including managing timelines and multiple vendors.
  • Exceptional written and verbal communication skills.
  • Strong Google Suite and/or MS Word and PowerPoint skills. Proficiency in MS Excel.
  • Overall tech-savvy skillset.

Responsibilities

  • Manage day-to-day operations of our New York City office, including supplies ordering, courier deliveries, and oversight of building maintenance, handyman, cleaning, and plant/facilities contractors.
  • Take ownership of the office's day-to-day look and feel; proactively keeping it organized, polished, and presentable for investor visits and board meetings, while making sure it feels warm, comfortable, and welcoming for employees day to day.
  • Own new hire onboarding logistics, including preparing workspaces, coordinating equipment and access, and ensuring a smooth and welcoming Day 1 experience in partnership with People and IT.
  • Support project planning and execution for larger workplace initiatives, including office moves and company offsites (coordinating timelines, vendors, and logistics).
  • Support the Finance Team on procurement tasks, including sourcing suppliers for hard-to-find engineering equipment, creating purchase orders, and tracking deliveries.
  • Maintain key company documentation (e.g., NDA and COI library, relevant company wikis).
  • Support People Operations initiatives including back-end new hire onboarding administration.
  • Coordinate regular team-building activities and company-wide meetings to help us continue to build our fantastic culture.
  • Support ad-hoc projects across the full company.
