The ideal candidate is highly organized, detail-oriented, and an effective communicator, with the ability to anticipate needs, prioritize tasks for director-level support to department leadership through comprehensive administrative support to ensure the team operates efficiently and effectively.

Requirements

  • Minimum of three years of administrative experience, with a strong track record of providing high-quality in-person support
  • Demonstrated ability to deliver both virtual and on-site administrative support, including coordinating across multiple departments and levels of leadership
  • Exercises sound judgment with a high level of professionalism, discretion, and confidentiality
  • Advanced proficiency in Microsoft Office 365, including calendar management, Word, Excel, and Outlook
  • Strong communication and interpersonal skills, with a proactive, solutions-oriented mindset and keen attention to detail
  • Highly self-motivated with the ability to manage competing priorities and work independently with minimal supervision
  • Collaborative team player with the ability to quickly learn and adapt to new systems and processes
  • Reliable transportation required, with flexibility to travel to various locations as needed

Responsibilities

  • Manage and maintain detailed academic and program calendars, coordinating classes, orientations, staff meetings, and special events within an adult education setting for the Workforce Development and Community Kitchen teams
  • Prepare for and participate in key meetings, recording clear and concise notes and tracking action items using Microsoft Office tools (e.g., Teams, Outlook, Email)
  • Serve as a liaison between instructors, students, administration, and external partners, handling sensitive student information and communicating policies and procedures effectively
  • Develop, organize, and maintain both digital and physical filing systems for student records, program documentation, and compliance requirements
  • Track and reconciled program-related expenses using Concur, ensuring accuracy and timely processing
  • Coordinate the organization and upkeep of classrooms, offices, and supply areas, including inventory management of educational and program materials
  • Monitor and support internal and external reporting deadlines (i.e. Department of Labor), ensuring timely submission of attendance, performance, and compliance reports
  • Work independently and collaboratively on ongoing initiatives and special projects to support adult learners and program goals
  • Lead and support special projects, such as program launches, student engagement events, and process improvements
  • Perform general administrative and office management duties, including preparing reports, maintaining records, and supporting daily operations to ensure an efficient and adult learner-centered environment.
