About The Position

We are seeking a Warranty & Seasonal Coordinator to join our Warranty team in Edmonton, Alberta. This role is ideal for someone who is organized, calm under pressure, and confident communicating with customers when the answer is not always simple. As a Warranty & Seasonal Coordinator, you will help homeowners navigate the post-possession experience by coordinating inspections, service appointments, trade follow-up, technician schedules, and seasonal warranty work. You will be one of the key connections between homeowners, Warranty Technicians, trade partners, and internal teams. Some days will involve carefully explaining warranty coverage. Others will involve resolving scheduling conflicts, adjusting priorities, or helping a homeowner understand why a service item may take longer than expected. This is not a quiet administrative role. It requires quick thinking, strong follow-through, and the ability to process a high volume of changing information without losing important details. You will need to compartmentalize difficult conversations, remain professional when homeowners are frustrated, and keep commitments even when priorities shift. Previous residential home warranty or post-possession service experience is a significant asset and will help you hit the ground running. We are also open to candidates from construction, real estate, automotive service, customer service, sales, collections, or other fast-paced service environments who bring strong communication, organization, and problem-solving skills. Requirements

  • Previous experience in residential home warranty, homeowner care, or post-possession customer service is considered a strong asset.
  • Experience in customer service, construction, real estate, automotive service, scheduling, sales, collections, reception, or another fast-paced service environment.
  • A calm, patient, and professional communication style, including the ability to handle difficult conversations without becoming defensive or taking complaints personally.
  • Strong phone skills and professional written communication, including confidence writing clear emails and letters.
  • Exceptional organizational skills with the ability to manage a high volume of open items, changing schedules, and competing priorities.
  • Strong attention to detail and a reputation for keeping promises and following through.
  • The ability to think quickly, ask good questions, solve problems, and adjust as new information becomes available.
  • Confidence using Microsoft 365, including Outlook, Word, Excel, OneDrive, and SharePoint.
  • A collaborative mindset and comfort communicating face-to-face, by phone, email, and Microsoft Teams.

Nice To Haves

  • Experience with HomeFront or Performance Builder is an asset.
  • General knowledge of residential construction, warranty processes, or Alberta New Home Warranty is an asset.

Responsibilities

  • Respond to homeowner warranty and seasonal inquiries by phone and email, acknowledging communication within 24 hours.
  • Explain warranty processes, timelines, next steps, responsibilities, and limitations with professionalism and empathy.
  • Coordinate 3-month and 11-month inspections, trade appointments, Warranty Technician schedules, and service follow-up.
  • Manage scheduling conflicts and communicate appointment changes, delays, or next steps to the appropriate people.
  • Create work orders and track outstanding items through to completion.
  • Maintain accurate homeowner communication, service notes, documentation, and file records within internal systems.
  • Coordinate seasonal items such as landscaping, grading, and exterior work based on weather, trade availability, and warranty timelines.
  • Follow up with trade partners and internal teams to confirm service requirements and completion.
  • Identify delays, recurring issues, or documentation gaps and escalate them before they create larger service problems.
  • Support the Warranty team by staying flexible, shifting priorities, and stepping in wherever needed during high-volume periods.
