Prepares, records and submits warranty claims to the factory and/or distributor and reconciles them accordingly. This role involves processing repair orders, verifying customer and vehicle information, reviewing repairs and parts for authorization, checking service history, and ensuring accurate billing and technician time. The administrator will process warranty claims and payments, reconcile accounts, maintain warranty journals, and follow up on accounts receivable. They will also analyze adjusted claims, appeal shortages, and maintain customer and manufacturer relations. Additional duties include negotiating payment responsibility, informing stakeholders of repair status, explaining warranty policies, and following up on recalls and Technical Service Bulletins (TSBs). The role also requires mediating customer and manufacturer resolutions, reporting quality concerns, performing administrative tasks, and contributing to departmental goals. This includes processing correspondence, adjusting technician repair times, maintaining warranty files, and requesting labor rate increases. The administrator will also update the manufacturer labor rate manual, assist with new unit check-ins, verify specifications, perform inspections, complete DAF, and pursue professional development through training, certifications, industry events, and networking.
