About The Position

HIEC is seeking an organized, energetic, and service-oriented Volunteer Support Assistant to join their team for the summer. This role involves working closely with the Volunteer Engagement Coordinator to support the daily experience of volunteers contributing to HIEC initiatives, with a particular focus on the Ontario Career Lab. The position combines administrative, communication, coordination, and project support tasks. Responsibilities include assisting with volunteer onboarding, scheduling, records management, screening processes, email communications, and summer initiatives aimed at enhancing volunteer engagement, support, and recognition. The role may also involve attending events, career sessions, outreach activities, gathering feedback, assisting with surveys, and contributing ideas to improve volunteer systems. This position is funded through the Canada Summer Jobs program and is ideal for someone who enjoys helping others, staying organized, taking initiative, and making a community impact in a fast-paced, collaborative environment.

Requirements

  • Be between 15 and 30 years of age at the start of the funded position.
  • Be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred.
  • Have a valid Social Insurance Number (SIN).
  • Be available to work the required full-time contract hours for the duration of the placement.
  • Strong organizational skills with excellent attention to detail
  • Strong written and verbal communication skills
  • Demonstrated initiative, creativity, and willingness to contribute ideas
  • Comfortable using Microsoft Office, Google Workspace, and general workplace technology
  • Passion for volunteerism, youth engagement, community impact, and service excellence

Nice To Haves

  • Relevant post-secondary education in business administration, communications, human resources, education, community services, nonprofit management, or a related field is considered an asset
  • Equivalent combinations of education, training, experience, and transferable skills will be considered
  • Previous experience in administration, customer service, volunteer environments, events, education, or coordination is an asset
  • Experience with CRM systems (such as HubSpot), spreadsheets, surveys, or digital communication platforms is an asset
  • Interest in or experience within the not-for-profit sector is considered an asset
  • Valid driver’s licence considered an asset

Responsibilities

  • Support volunteer onboarding, communications, scheduling, and general coordination
  • Assist with volunteer records, spreadsheets, databases, and internal tracking systems
  • Help process and monitor volunteer screening requirements, including Sterling Backcheck requests and follow-up steps
  • Respond to volunteer inquiries in a professional and service-oriented manner
  • Support initiatives connected to Ontario Career Lab, including events, career sessions, webinars, and outreach activities
  • Attend select sessions or events to support operations and gather feedback
  • Assist with surveys, reporting, and summer improvement projects
  • Draft volunteer emails, reminders, recognition messages, and general communications
  • Contribute ideas that improve volunteer engagement, service delivery, and internal processes
  • Complete other duties as assigned from time to time in support of organizational priorities
