About The Position

The Volunteer Services Manager will assess ongoing needs for volunteers at each site, ensuring vital operations are appropriately staffed to meet the organization's mission and goals. This role involves collaborating with Center Managers and Department leaders to prioritize needs and identify volunteer roles. The manager will also ensure compliance with organizational guidelines and applicable laws, develop and maintain a volunteer handbook and service descriptions, and coordinate volunteer orientation and training. Performance measurements for volunteers will be created. Additionally, the role focuses on expanding the volunteer pipeline through community engagement and networking, actively recruiting volunteers, and developing application and screening processes. Collaboration with Human Resources for background checks is essential. The manager will develop tools to track volunteer documentation, training, hours, and performance metrics, manage the volunteer program budget, and research best practices in volunteer engagement. A key aspect of the role is leading volunteer recognition and retention efforts, fostering a sense of community, and organizing recognition events. Marginal duties include performing other assigned duties to support the organization's mission.

Requirements

  • Associate’s degree in business or health related field required.
  • Five (5) years of work experience in health services, public health, or a related field.
  • At least 3 years in a leadership, human resources, community or employee engagement roll is required.
  • Excellent verbal and written communication skills.
  • Problem solving skills.
  • Ability to utilize cultural competency skills to engage persons of diverse backgrounds with cultural compassion, sensitivity and competence.
  • Ability to use computer applications to include electronic medical records, Microsoft word, Excel, and database entry.
  • Understanding of medical terminology.
  • Flexibility to accommodate evenings and weekends when necessary.
  • Able to communicate effectively with, and relate to diverse populations in a professional and courteous manner.
  • Demonstrated customer service skills, teamwork and problem solving.
  • Independence in job organization.
  • Be able to demonstrate initiative.
  • Must be able to sit, stand, and or walk for an entire workday.
  • Must be able to lift, carry, push, pull, and or twist while holding up to 25 lbs. frequently, up to 50 lbs. occasionally.

Nice To Haves

  • Certified Volunteer Administrator (CVA) or similar volunteer management certification, preferred.
  • Bachelor’s degree in healthcare related field preferred.
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Assess ongoing needs for volunteers at each site and ensure vital operations are appropriately staffed.
  • Collaborate with Center Managers and Department leaders to prioritize needs and identify volunteer tasks and roles.
  • Create buy-in from key staff/leadership and departments to ensure volunteers receive role-specific training and support.
  • Ensure compliance by making sure all developed volunteer policies, guidelines and structure align with GLBHC guidelines, HRSA standards, and any applicable laws.
  • Create, maintain and distribute a volunteer handbook that is consistently updated with current policies and best practices.
  • Create, maintain and distribute HR approved service descriptions for volunteers.
  • Work with HR to coordinate and provide volunteer orientation.
  • Work with program/department leaders and facilitators to develop a training plan that prepares volunteers.
  • Create measurements of performance in the role and effectiveness of the role.
  • Expand the volunteer pipeline through community engagement and networking.
  • Build relationships within corporate and community partners to support recruitment efforts.
  • Actively recruit volunteers through outreach, fairs, and community events.
  • Create volunteer application and screening tools/process.
  • Collaborate with Human Resources on appropriate background checks and suitability for volunteer service.
  • Develop a tool or use existing resources to track and maintain appropriate documentation, training, volunteer hours and statistics, timelines, KPIs, and success metrics.
  • Work with finance to develop and manage the volunteer program budget.
  • Plan for growth and continuous improvement of the volunteer program.
  • Research and apply best practices in volunteer engagement.
  • Lead the efforts of recognition and retention of volunteers by creating a sense of community and belonging, and demonstrating appreciation.
  • Collaborate with Growth and Development team to identify new marketing opportunities for recognition and public acknowledgments.
  • Hold recognition events annually to recognize service of volunteers and support retention efforts.
  • Performs other duties as assigned to support the mission and goals of the organization.
