About The Position

The Volunteer Engagement Coordinator is the first point of contact for Houston Food Bank’s (HFB) new and returning volunteer groups. This position serves as an ambassador for HFB’s volunteer experience, possessing knowledge of the various volunteer programs and onsite opportunities. The coordinator supports volunteers throughout their journey, managing the volunteer system for group registration, scheduling, confirming numbers, and other logistical planning. They also coordinate and accommodate special requests such as group tours, catering, project area coordination, corporate groups, media logistics, and special events in a welcoming manner, adhering to PACT values (Purpose, Accountability, Courage, Transparency).

Requirements

  • High School Diploma from an accredited school or GED certificate.
  • Minimum of 2 years of experience in an administrative support role.
  • Minimum of 2 years of experience with in-person customer service.
  • Minimum of 1 year of experience with scheduling and event coordination.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Knowledge of CRM systems.
  • Ability to work on multiple projects with minimal supervision and manage time effectively.
  • Skilled in active listening and understanding information presented verbally.
  • Ability to effectively present information and respond to questions from various stakeholders.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with a demonstrated ability to work well with people at all levels.

Responsibilities

  • Oversees the full volunteer group scheduling process by responding promptly to volunteer inquiries via phone and email, managing shared inboxes, Teams chats, and phone lines.
  • Maintains the volunteer management system with necessary group registration information.
  • Greets volunteer groups upon arrival, assists with check-in, provides support for questions or issues, and assists in project areas during their volunteer experience.
  • Attends meetings to provide updates on scheduled volunteer groups, focusing on logistics impacting the production team (e.g., group size, project area, conference room requests, HFB tours, special requests).
  • Attends recruitment fairs at various offsite locations to promote and recruit potential volunteers, including some outdoor event support.
  • Collaborates with Volunteer Services leadership and team members to identify opportunities for improving the volunteer experience.
  • Supports scheduled corporate volunteer events, media coverage, special onsite events, HFB tours, and community outreach for prospective volunteers.
  • Gathers and compiles updates for email newsletters to highlight upcoming volunteer opportunities, volunteer spotlights, and HFB organizational changes for volunteers and community partners.
  • Implements initiatives to enhance the volunteer experience, including volunteer recognition programs.
  • Executes active volunteer recruitment, including participation in community recruitment events, enrolling in volunteerism organizations, and maintaining profiles on public volunteer platforms.
  • Inputs volunteer shifts into the database upon request from external departments, communicating dates, times, shift details, and registration links to stakeholders.
