About The Position

This is a contract remote role open to international applicants. The position involves supporting HR onboarding, employee communications, and back-office administrative functions. The Virtual Assistant will prepare and send offer letters and onboarding documents, collect, review, and track employment and compliance documentation (including I-9 forms), and communicate professionally with new hires and employees regarding onboarding and HR processes. Responsibilities also include maintaining employee records, HR trackers, spreadsheets, and internal databases, as well as assisting with general HR administrative support, follow-up tasks, and document management. The role requires handling confidential employee and company information with discretion.

Requirements

  • Must read, write, and understand English proficiently
  • Must be available to work Monday–Friday during US Pacific Standard Time business hours
  • Must be willing to work 8:00 AM–5:00 PM PST or later as needed
  • Must have a reliable personal computer/laptop
  • Must have webcam/video capability for virtual meetings
  • Must have reliable high-speed internet service
  • Must have reliable phone service
  • Must be dependable, responsive, and comfortable working in a fast-paced virtual environment
  • Strong written and verbal communication skills
  • Excellent organization and multitasking abilities
  • High attention to detail and accuracy
  • Proficiency with Microsoft Office (all) - Outlook/PP/Excel, Canva, Zoom, Teams, Slack, and similar tools
  • Comfortable using AI productivity tools such as ChatGPT

Nice To Haves

  • Experience with HR systems or onboarding support preferred
