About The Position

Bedford Veterinary Medical Center is seeking a Veterinary Office Manager to oversee operations for both the Bedford and Lowell locations. This state-of-the-art, multi-doctor hospital offers comprehensive animal care and practices the highest quality medicine with compassion. The hospital provides a wide range of services including wellness care, anesthesia, dentistry, internal medicine, laser therapy, surgery, urgent care, and acupuncture. They are well-equipped with advanced technology and have a sister hospital offering rehabilitation services. The goal is to make clients and pets feel like an extended part of the family. The location in Southern New Hampshire offers access to beaches, mountains, and city life, making it an attractive place to live and raise a family.

Requirements

  • Minimum of 3-5 years of experience in a veterinary office or similar customer service role.
  • At least 1-2 years in a supervisory or management position.
  • 40 hours a week, rotating weekends.

Responsibilities

  • Train, coach, evaluate, and support team members through performance management and team meetings.
  • Manage staffing schedules, payroll, hiring, onboarding, and employee relations.
  • Maintain accurate records, inventory control, controlled substances compliance, and hospital policies (DEA/OSHA).
  • Oversee office workflow, facility maintenance, safety, and revenue reporting.
  • Support marketing initiatives and represent the hospital at community and industry events.
  • Ensure exceptional client service by resolving concerns professionally and supporting patient care coordination.
  • Build and maintain strong vendor relationships to support hospital operations.
  • Communicate effectively with staff, clients, and veterinary teams while fostering a positive workplace culture.
  • Perform additional duties as assigned.
  • Oversee the daily administrative functions of the veterinary office, ensuring a well-organized and efficient workflow.
  • Supervise, train, and mentor reception staff to ensure high-quality customer service.
  • Ensure that the office environment remains clean, safe, and welcoming for clients and staff.
  • Maintain inventory of office supplies and veterinary materials, placing orders as necessary.
  • Manage office scheduling, including coordinating with the veterinary team to ensure appropriate coverage for appointments and surgeries.
  • Handle staff scheduling, ensuring proper coverage and compliance with labor laws.
  • Prepare and distribute internal communications to keep all team members informed about clinic operations and changes.
