About The Position

The Vendor Coordinator is an integral part of the Lunchbox team, a product designed to connect K-12 schools with local restaurant partners for simple, cashless, and compliant student lunch ordering. This role serves as the operational engine for KEV's vendor network, overseeing the entire lifecycle of restaurant partnerships from initial outreach to active account management. The position requires an organized individual who communicates with clarity and warmth, taking genuine pride in the operational work that ensures the program runs smoothly. While prior K-12 experience is not required, a strong commitment to accuracy and representing KEV's values in all vendor interactions is essential.

Requirements

  • 1-2 years of experience in vendor coordination, Operations Coordinator or sales support, ideally in a SaaS or Tech environment.
  • Strong organizational skills with a proven ability to manage multiple vendor relationships simultaneously without dropping the ball.
  • High attention to detail, with the ability to maintain accurate vendor records, contracts, menus, and pricing information.
  • Excellent written and verbal communicator with a customer-first mindset, ensuring every interaction is clearer than when it started.
  • Experience reviewing contracts and managing vendor data, reporting, and documentation.
  • Comfortable working independently and knowing when to escalate, taking action on clear instructions and not requiring constant direction.
  • Bring curiosity, warmth, and a "get it done" attitude to every interaction, asking smart questions, caring about the mission, and showing up with consistent energy.

  • Familiarity with the K-12 education or food service industry.

Responsibilities

  • Research, identify, and conduct outreach to restaurant partners across Canada, qualifying candidates against program requirements to grow a reliable, high-quality vendor base.
  • Manage all phases of the Vendor Sales cycle from lead generation to close, including responding clearly to vendor and school inquiries, meeting or exceeding defined sales quotas.
  • Confirm restaurant participation, gather accurate menu and pricing information, and act as the liaison between vendors, schools, and the customer support center to ensure smooth onboarding and ongoing service delivery.
  • Maintain and update vendor records in the CRM with precision, including weekly reporting, forecasting, and opportunity tracking, to ensure the team always has an accurate picture of the pipeline.
  • Build and sustain strong partnerships with existing vendors through daily communication and proactive support, reducing friction and increasing engagement over time.
