About The Position

The Vendor Coordinator will work alongside the Vendor Manager to actively coordinate and oversee facility soft & hard services operations including building maintenance, equipment systems, and JLL subcontractor programs. This role requires constant movement throughout the facility, hands-on vendor engagement, and proactive problem-solving to keep operations running smoothly. A hospitality mindset is fundamental to delivering exceptional workplace experiences for our client. Requirements

  • High School Diploma/GED required.
  • 1-3 years of hands-on experience in facilities management, maintenance, or related field.
  • Proven ability to thrive in fast-paced environments managing work orders and inventory while staying physically active.

Nice To Haves

  • Associate or College Degree preferred.
  • Ability to follow pre-determined SOPs and safety protocols while adapting to dynamic site conditions.
  • Basic knowledge of warehouse inventory management, SAP, and Microsoft Office.
  • Strong interpersonal communication skills with ability to engage face-to-face with technicians, vendors, and clients at all organizational levels.
  • Excellent attention to detail with strong documentation abilities developed through active observation.

Responsibilities

  • Move throughout the facility daily to coordinate maintenance activities for critical building systems including elevators, roll-up doors, and dock levelers—ensuring work is progressing and standards are met.
  • Conduct regular site walks to identify and immediately flag unsafe conditions or behaviors, actively promoting safety culture among subcontractors, suppliers, and visitors.
  • Partner with the EHS team on the ground during incidents, near misses, or investigations, providing hands-on support to resolve vendor-related safety issues.
  • Be present on-site to ensure vendors meet client contract requirements and compliance standards through direct observation and engagement.
  • Actively schedule and coordinate maintenance activities while physically attending to critical work alongside area managers, vendor manager, and maintenance planners to ensure timely closure.
  • Monitor maintenance activities in person to verify regulatory compliance and adherence to SOPs, maintaining JLL standards across all vendor work.
  • Participate as an active team member in client compliance initiatives, physically verifying that services meet contractual obligations.
  • Demonstrate technical competency through hands-on involvement in site procedures and facility operations.
  • Serve as a first responder in Business Continuity Planning activities and emergency situations, taking immediate action when needed.
  • Build client satisfaction through visible presence and proactive facility management service delivery.
  • Escort and accompany vendors throughout the facility, providing guidance and ensuring work quality standards.
