About The Position

The Undergraduate Programs Administrator supports a number of interdisciplinary programs housed in the Office of the Dean of Humanities and Arts. This role is responsible for all front office functions, serving as the primary point person for problem-solving a variety of matters. The administrator also supports program faculty, coordinates administrative functions, and manages special events and website content. They are the first point of contact, representing the programs to internal and external contacts, and interact daily with faculty, students, visitors, other university staff, and external individuals and organizations. The position provides support to program directors with tasks including general announcements, course offerings, and course schedules.

Requirements

  • Bachelor's Degree (In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted)
  • Two or more (2+) years of related experience (In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted)
  • Ability to develop and initiate new strategies
  • Advanced problem-solving skills
  • Strong verbal and written communications skills
  • Ability to work well under pressure and manage projects simultaneously
  • Strong organizational and time management skills
  • Advanced knowledge of Microsoft Office suite
  • Strong data analysis skills

Responsibilities

  • Administers the daily operations of assigned programs with general guidance by the directors and a senior staff member
  • Conducts research, analyzes data, identifies trends and develops reports
  • Monitor budgets and the development of longer terms budget plans
  • Recommends and implements outreach plans, including communications, events, marketing, conferences, etc.
  • Provides support to faculty, staff and students as related to the program(s)
  • Assists with student recruitment, student records, curriculum support, coordinating the accreditation process
  • Designs and processes course and outreach materials both in digital and hard copy formats
  • Monitors and maintains program websites
  • Maintains social media accounts
  • Processes faculty reimbursements
  • Processes procurement requests such as student awards, non-employee travel reimbursements, and honoraria for guest speaker.
  • Supervises student assistants
  • Performs all other duties as assigned
