About The Position

The U.S. Payroll Staff Accountant processes U.S. payroll and prepares financial reports by applying accounting principles within the Accounting Department. This role ensures accurate, timely, and compliant payroll operations while maintaining alignment with both U.S. and Canadian payroll regulations.

Requirements

  • Bachelor’s degree in Accounting (preferred), or an Associate’s degree in Accounting with at least three years of progressive related experience. A combination of five or more years of progressive accounting experience, including reconciliation, may be considered in lieu of a degree.
  • Strong spreadsheet experience is required.
  • Effective and efficient oral and written communication skills.
  • Ability to quickly comprehend Canadian and U.S. federal, state and provincial payroll tax law to ensure compliance with various regulations.
  • Ability to accurately process payroll and related filings in a fast-paced, deadline-oriented and confidential environment.
  • Strong quantitative skills are required; ability to perform complex account reconciliations.
  • Strong organizational skills and attention to detail are a must.
  • Ability to work independently and as part of a team.
  • Must be able to maintain strict confidentiality of sensitive UFCW records and financial information.

Nice To Haves

  • Payroll experience is preferred.
  • Familiarity with ADP, UKG payroll software is preferred.
  • Familiarity with PN-3, Solomon and SAGE Intacct accounting software is preferred.

Responsibilities

  • Prepare and process biweekly, monthly, and off-cycle U.S. payrolls, including check preparation and distribution.
  • Prepare payroll entries and ensure accurate calculation, reporting, and distribution of related taxes, benefits, and deductions through checks, EFT, wire transfers, and memos.
  • Handle payroll inquiries, perform analyses, and manage related correspondence.
  • Maintain comprehensive payroll records, documentation, and employee files.
  • Handle off-cycle payroll checks and wire transfers as needed.
  • Maintain and ensure compliance with multi-state (US) & cross-border (Canada) tax rules and regulations.
  • Generate, review, and analyze payroll-related reports to support reconciliations, trend analysis, and data accuracy.
  • Prepare and reconcile annual earnings statements and tax forms against the general ledger, ensuring accuracy and timely distribution to employees and relevant authorities.
  • Prepare and deliver U.S. salary verifications for employees, internal departments, and external parties.
  • Process monthly and annual U.S. workers’ compensation returns in compliance with all regulatory requirements and deadlines.
  • Prepare and submit federal, state, and local tax returns and reports.
  • Reconcile payroll deduction accounts for employee contributions and company withholdings.
  • Prepare monthly U.S. payroll account bank reconciliations.
  • Reconcile U.S. payroll clearing accounts.
  • Assist with the reconciliation of Schedules 11 and 12 of the LM2 report for payroll-related accounts.
  • Provide backup support for the Canadian biweekly and monthly annuitant payrolls.
  • Prepare annual automobile schedules for U.S., including answering questions and processing adjustments.
  • Assist with special projects and reports as needed.
  • Maintain confidentiality of UFCW records and financial information.
  • Supplement the listed duties as required.
