Requirements

  • Working knowledge of general office and administrative practices and procedures.
  • Ability to interpret and apply CSU and campus travel policies and procedures.
  • Ability to analyze routine operational and procedural problems and recommend practical solutions.
  • Ability to organize and prioritize multiple assignments and meet established deadlines.
  • Strong written and verbal communication skills.
  • Ability to provide effective customer service and maintain positive working relationships with faculty, staff, students, and external partners.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
  • Working knowledge of Microsoft Office applications, including Excel and Word.
  • Ability to learn and utilize financial and travel management systems.
  • Ability to prepare routine reports and maintain accurate records.
  • Ability to work independently on standard assignments with general supervision.
  • A bachelor’s degree and/or equivalent training and administrative support experience.

Nice To Haves

  • Experience working in higher education or public sector environments.
  • Experience using SAP Concur Travel & Expense or similar travel management systems.
  • Familiarity with CSU travel policies and procedures.
  • Experience supporting financial or accounts payable processes.
  • Experience developing or delivering training and procedural guidance.
  • Familiarity with PeopleSoft or other financial systems.
  • Ability to adapt to changing technologies and operational needs.

Responsibilities

  • Assist with daily travel and expense program operations, including processing travel documents, reviewing expense reports for completeness and compliance, and supporting reconciliations and vouchering activities.
  • Provide administrative support for travel-related Accounts Payable functions and maintain records and documentation.
  • Support Concur and related travel applications by assisting users with routine system issues, maintaining user access, testing minor updates, and coordinating with IT and campus departments regarding system processes and procedures.
  • Respond to travel-related questions from faculty, staff, and students.
  • Assist with the development of training materials, reference guides, and campus communications regarding travel procedures and policy updates.
  • Conduct routine training sessions and provide one-on-one assistance as needed.
  • Oversees maintenance and enhancement of travel program webpages to provide accurate, accessible, and user-focused information.
  • Compile and prepare routine reports related to travel expenditures and compliance activities.
  • Assist with reviewing processes and recommending operational improvements to increase efficiency and compliance with CSU policies and procedures.
  • Provide day-to-day guidance and work direction to team assistants performing routine administrative support tasks related to the Concur system including travel, ProCard, and reimbursement processing
