Nice To Haves

  • Prior experience booking travel in a Global Distribution System (GDS).
  • Experience coordinating logistics for field crews or mobile operations.
  • Experience with Smartsheet or similar workflow management tools.

Responsibilities

  • Manage the complete travel lifecycle for crews across multiple jobsites, from coordinating last-minute logistical changes to debugging automation failures.
  • Work within a Global Distribution System (GDS), making judgment calls on bookings, cost optimization, and policy compliance.
  • Act as the point person to coordinate with Superintendents and safety teams to resolve high-priority exceptions like missed flights, vehicle damage, or safety incidents.
  • Develop judgment about what requires immediate escalation versus what can be resolved independently.
  • Maintain and optimize the Travel Request system (Smartsheet), flagging bottlenecks, errors, and improvement opportunities.
  • Spot patterns and suggest process refinements that increase accuracy and reduce manual work.
  • Ensure seamless handoffs between shift coordinators through clear, complete, and actionable pass-off documentation.
