About The Position

SellToJR.com is seeking a Transaction / Client Success Coordinator to manage real estate transactions from contract signing to closing. This role is crucial for ensuring all deals are successfully completed, often involving complex situations such as inherited properties, title problems, and distressed sellers. The coordinator will work with clients, title companies, attorneys, and internal teams to overcome obstacles and facilitate smooth closings. This is not a traditional administrative role; it requires a proactive problem-solver with strong real estate transaction and title knowledge, excellent customer service skills, and the ability to work independently.

Requirements

  • Experience working for a Texas title company, real estate law firm, real estate investment company, or similar business responsible for closing real estate transactions.
  • Paralegal and/or title experience strongly preferred.
  • Extremely detail-oriented and highly organized.
  • Great at following up.
  • Comfortable managing multiple transactions at once.
  • Excellent with clients.
  • Strong written and verbal communicator.
  • Comfortable having difficult conversations.
  • Calm under pressure.
  • Naturally good at solving problems.
  • Able to work independently without constant direction.
  • Comfortable working with attorneys and title companies.
  • Familiar with real estate closing documents and title commitments.

Responsibilities

  • Own the Transaction From Contract to Closing: Manage each transaction from the signing of the purchase agreement through closing, including opening title, managing communication with the title company, tracking deadlines and documents, reviewing title commitments, coordinating with various parties, and ensuring all outstanding items are completed.
  • Title & Curative Work: Address complicated title issues, including dealing with liens, judgments, releases, payoffs, probate documents, heirship issues, affidavits, missing documents, deceased owners, and multiple owners. Work with title companies and attorneys to resolve these issues.
  • Client Success: Serve as a primary contact for clients, introducing yourself, explaining the process, maintaining regular communication, answering questions, setting expectations, handling difficult conversations, and helping clients navigate the practical aspects of moving.
  • Problem Solving: Identify and solve problems that could prevent a transaction from closing, developing alternative plans when necessary, finding alternative ways to reach people, asking questions to find answers, owning and fixing mistakes, and proactively identifying potential issues.
  • Risk Management & Attention to Detail: Protect the company by carefully reviewing closing documents, auditing settlement statements, ensuring contract terms are followed, confirming document completion, maintaining organized files, identifying and escalating unusual issues, looking for potential risks, and helping to improve checklists and systems to prevent mistakes.
