Trade Show Coordinator
About The Position
Tavily is building the search engine for AI agents, with an API designed to power RAG and real-time reasoning in AI systems. They connect LLMs to high quality, trustworthy web content to help developers build informed agents. Tavily works with innovative AI teams, from startups to large enterprises, powering sales assistants, research copilots, and internal knowledge tools. The role of Trade Show & Events Coordinator is to own the planning and execution of the company's presence at industry conferences, tradeshows, and corporate events. This role will manage logistics from booth procurement to post-show lead follow-up, ensuring every event delivers measurable ROI. The position is remote within the United States.
Requirements
- 2–4 years of experience in event coordination or field marketing
- Strong project management skills; experience with tools like Asana, Monday.com, or similar
- Comfortable managing multiple projects simultaneously under tight deadlines
- Willingness to travel up to 30% of the time
- Experience with CRM systems (Salesforce, HubSpot) for lead tracking preferred
Responsibilities
- Plan and manage end-to-end tradeshow and event logistics (booth design, shipping, setup, staffing)
- Maintain the annual events calendar and manage budgets across 10–20 events per year
- Coordinate with vendors, exhibitors, and internal stakeholders
- Oversee pre-show promotions and post-show lead handoff to the sales team
- Track event performance metrics and report on pipeline impact
- Negotiate contracts with venues, vendors, and event organizers
