About The Position

The Timekeeping and Leave Management Specialist plays a key role in ensuring accurate payroll and leave processing for team members on leave. This position focuses on entering leave decisions into Oracle, accurately coding timecards with appropriate leave and disability pay codes, making historical corrections, and managing multiple payroll spreadsheets in Excel. The role may also serve as a backup to the billing administrator, supporting insurance invoicing and payment guidance for team members on leave.

Requirements

  • Demonstrated experience in payroll and timekeeping processes, including hands-on work with timecards.
  • Strong proficiency in MS Office, including Word, PowerPoint, and especially Excel for managing multiple payroll spreadsheets.
  • Practical experience with benefits payments for employees while they are on leave.
  • Experience manually coding different pay and leave codes on timecards and making manual adjustments as needed.
  • Ability to handle high-volume leave management and timekeeping tasks with accuracy and efficiency.
  • Strong attention to detail and organizational skills to manage numerous timecards and leave requests concurrently.
  • Capability to work on-site 2–3 times per week after the training period.

Nice To Haves

  • Experience with leave management and absence management systems.
  • Experience in payroll processing and timekeeping within systems such as Kronos or similar platforms.
  • Familiarity with UKG for timekeeping or payroll functions.
  • Experience working with Oracle for leave or payroll-related activities.
  • Comfort working with billing platforms such as Cybersource or similar systems.
  • Strong communication skills to clearly explain billing and payment processes to team members.
  • Ability to work effectively as part of a small team handling a large volume of timekeeping and leave activities.

Responsibilities

  • Enter leave decisions and leave codes into Oracle with a high level of accuracy and attention to detail.
  • Manage and maintain timecards for employees who are out on leave, ensuring correct leave and disability pay codes are applied.
  • Process a high volume of leave requests, ranging from approximately 16 to 150 requests per day.
  • Support bi-weekly payroll processing by coding and reviewing up to approximately 800 timecards as part of a three-person team.
  • Edit and correct timecards as needed, including making historical corrections to ensure accurate payroll records.
  • Perform manual entry of timecard edits, such as backing out PTO hours for employees who are on leave.
  • Utilize Excel to manage and reconcile multiple payroll-related spreadsheets, including penny pay, pending edits, and zero hours reports.
  • Serve as a backup for the billing administrator when needed, supporting billing and payment activities for employees on leave.
  • Send insurance invoices to team members on leave and ensure timely and accurate distribution of billing information.
  • Create and prepare invoices related to benefits payments for employees on leave.
  • Provide clear guidance to team members on how to make payments through Cybersource, the billing platform.
  • Collaborate with internal stakeholders to resolve discrepancies in timekeeping, leave coding, and benefits payments.
  • Maintain confidentiality of employee information and adhere to internal policies and procedures related to payroll and leave management.
