About The Position

This role is responsible for managing time entry exceptions daily, including Personal Time Off (PTO), FMLA, LOA, excused and unexcused absences, and meal break exceptions. All exceptions must be resolved before the overtime report can be generated for the management team. Overtime exceptions will be handled after the management team submits their report. The Timekeeper will also update shift times and expected times before shifts to minimize missed punches, track attendance records (lateness, absences, manual missed punches), and ensure miss punch forms are completed correctly with necessary signatures. This role involves ensuring the daily OT report is received, completed, and signed by a manager, reporting unauthorized time discrepancies to the Planning Manager, and sending completed payroll reports, Miss Punch Forms (MPFs), Absence Request Forms, and Payroll Discrepancies to the payroll department. Coordination with the payroll department on Mondays is required to ensure timely processing of PT and reports after exceptions are cleared.

Requirements

  • Must be 18 years or older.
  • Must have a professional demeanor.
  • Valid driver's license.
  • Must pass an FBI background check, fingerprinting and obtain customs seal.
  • Must pass a pre-employment drug test.
  • Must be able to multi-task.
  • Must be able to write, speak and read English.

Responsibilities

  • Clear all time entry exceptions daily, including Personal Time Off (PTO) based on available balance.
  • Clear all excused (FMLA or LOA) and unexcused absences.
  • Clear all meal break exceptions.
  • Ensure all exceptions are cleared before the overtime report can be generated for the management team.
  • Complete overtime exceptions after the management team has submitted the overtime report.
  • Update shift times and alter expected times prior to shift commencement to reduce missed punches, including shift trades.
  • Keep track of attendance records, monitoring lateness, absences, and manual missed punches.
  • Ensure miss punch forms are completed when required and filled out completely with signatures from employee and Duty Manager.
  • Ensure daily OT report is received, completed, and signed by manager.
  • Report to Planning Manager any unauthorized time discrepancies.
  • Send package to payroll department for signed payroll reports.
  • Send package of MPF's, Absence Request Forms, and Payroll Discrepancies to payroll.
  • Coordinate with payroll department on Mondays to ensure PT & reports can be run once exceptions have been cleared.
