About The Position

The Timekeeper will be responsible for managing and resolving all time entry exceptions daily. This includes processing Personal Time Off (PTO) based on available balances, handling excused absences (FMLA or LOA), and unexcused absences. They will also address meal break exceptions. All exceptions must be cleared before the overtime report can be generated for the management team. Overtime exceptions will be handled after the management team submits the overtime report. The role involves updating shift times and altering expected times before shift commencement to minimize missed punches, including managing shift trades. The Timekeeper will maintain attendance records, monitor lateness, absences, and manual missed punches. They will ensure that miss punch forms are completed accurately with signatures from both the employee and Duty Manager. Additionally, the Timekeeper is responsible for ensuring the daily OT report is received, completed, and signed by the manager. They will report any unauthorized time discrepancies to the Planning Manager. The role requires sending packages to the payroll department for signed payroll reports and coordinating with the payroll department on Mondays to ensure PT & reports can be run once all exceptions are cleared.

Requirements

  • Must be 18 years or older.
  • Must have a professional demeanor.
  • Valid driver's license.
  • Must pass an FBI background check, fingerprinting and obtain customs seal.
  • Must pass a pre-employment drug test.
  • Must be able to multi-task.
  • Must be able to write, speak and read English.

Responsibilities

  • Clearing all time entry exceptions daily (Personal Time off or PTO, FMLA or LOA, unexcused absences, meal break exceptions).
  • Clearing all exceptions before the overtime report can be generated for the management team.
  • Completing overtime exceptions after the management team has submitted the overtime report.
  • Updating shifts times and altering expected times prior to shift commencement to reduce missed punches, including shift trades.
  • Keeping track of attendance records, monitoring lateness, absences, and manual missed punches.
  • Ensuring miss punch forms are completed when required and filled out completely with signatures from employee and Duty Manager.
  • Ensuring daily OT report is received, completed and signed by manager.
  • Reporting to Planning Manager any unauthorized time discrepancies.
  • Sending package to payroll department for signed payroll reports.
  • Sending package of MPF's, Absence Request Forms, and Payroll Discrepancies to payroll.
  • Coordinating with payroll department on Mondays to ensure PT & reports can be run once exceptions have been cleared.
