About The Position

This role is responsible for performing payroll and timekeeping data entry, auditing, analysis, corrections, and compliance reviews for approximately 400 employees. The Timekeeper / Resource Coordinator will ensure accurate and compliant payroll processing, manage daily timekeeping exceptions, track attendance, and generate various reports. This position also serves as a point of contact for employee inquiries and collaborates with multiple departments to ensure data accuracy. Additionally, the role involves supporting operational planning and resource allocation through accurate attendance and staffing data, and adhering to safety, security, and compliance standards.

Requirements

  • Minimum 18 years of age.
  • High school diploma or equivalent.
  • Minimum two to three years of progressive experience in payroll, timekeeping, or administrative roles in a fast-paced environment.
  • Proficiency in Microsoft Office with expert Microsoft Excel skills.
  • Demonstrated experience using the Kronos Time Tracking System, including advanced functions.
  • Experience producing weekly and monthly reports.
  • Ability to analyze, identify trends, and resolve complex attendance and payroll discrepancies.
  • Strong organizational, analytical, and time-management skills.
  • Excellent written and verbal communication skills in English.
  • Ability to work independently with minimal supervision and meet tight deadlines.
  • Flexible availability to work variable shifts, including weekends and holidays, and at multiple locations.
  • Ability to lift, push, or move up to 25 pounds.
  • Ability to learn quickly and adapt to changing operational needs.
  • Strong interpersonal skills with the ability to build effective working relationships.
  • Ability to follow oral and written instructions and seek clarification when needed.

Responsibilities

  • Perform payroll and timekeeping data entry, auditing, analysis, corrections, and compliance reviews.
  • Audit and process payroll data for approximately 400 employees.
  • Conduct payroll compliance checks to ensure employees are paid accurately and in accordance with federal, state, and company regulations.
  • Screen employee hours worked for calculation, coding, and policy compliance errors.
  • Accurately enter payroll information not captured within Kronos.
  • Maintain thorough working knowledge of payroll and timekeeping systems and remain current on labor laws and regulations.
  • Clear all daily timekeeping exceptions, including Personal Time Off (PTO) based on available balances, Excused (FMLA, LOA) and unexcused absences, and Meal break exceptions.
  • Ensure all exceptions are resolved prior to overtime (OT) report generation.
  • Process OT exceptions after management OT submissions.
  • Track and monitor attendance records, including lateness, absences, and manual missed punches.
  • Update and adjust shift times prior to shift start to reduce missed punches, including shift trades and coverage.
  • Ensure Miss Punch Forms (MPFs) and Absence Request Forms (ARFs) are completed accurately and signed by both employees and Duty Managers.
  • Report unauthorized time discrepancies to the Planning Manager.
  • Produce weekly and monthly attendance, payroll, and resource utilization reports.
  • Utilize report-writing tools to generate customized and routine management reports.
  • Ensure Daily OT reports are received, completed, and signed by management.
  • Coordinate with managers to ensure timely delivery of attendance letters.
  • Support operational planning and resource allocation through accurate attendance and staffing data.
  • Serve as a professional and approachable point of contact for employee payroll and attendance inquiries.
  • Coordinate with Payroll, Human Resources, Planning, and other departments to ensure accurate employee data flow and maintenance.
  • Send completed payroll packages, including signed payroll reports, MPFs, ARFs, and payroll discrepancy documentation, to the Payroll Department.
  • Follow up on missing or late documentation, pay discrepancies, and roster changes.
  • Coordinate with Payroll on Mondays to ensure payroll processing and reporting can proceed once exceptions are cleared.
  • Perform all other tasks as requested by department managers and/or the General Manager.
  • Take reasonable care for the health and safety of themselves and of others.

  • Report any hazards, near misses, incidents, accidents, or dangerous occurrences to their manager / supervisor.
  • Carry out work in accordance with information and training provided and any specific workplace health and safety rules or procedures.
  • Fully understand the company health and safety policy.
  • Attend training courses as may be arranged by the Company.
