About The Position

This role plays a critical position in supporting the success of Finning’s expanding Technology rental portfolio, with a focus on Minestar hardware solutions including TfG, Fleet, Health, and Site Awareness. As a key contributor, you will oversee the full lifecycle of rental coordination and performance, ensuring seamless execution from initial request through to implementation and ongoing support. Sitting at the center of customer Autonomous Haulage System operations, you will collaborate closely with internal teams and external partners to deliver high quality, reliable technology solutions. You will be responsible for ensuring rental equipment is fully prepared, accurately tracked, properly documented, and aligned to billing and utilization expectations. You will work closely with Technology Sales, Service, Operations, Finance, and external suppliers to drive strong outcomes for both Finning and its customers, while contributing to revenue growth, compliance, and overall customer satisfaction.

  • Knowledge of heavy equipment operation; haul truck, track type tractors, graders, and excavators
  • Knowledge of commercial impact of decision making and demonstrates the ability to negotiate skillfully through tough situations to best advance organizational interests
  • Understanding of service billing, warranty processes, and fleet documentation
  • Post‑secondary education in Business, Administration, Accounting, Project Management, or a related field or equivalent practical experience

  • Proficient with the MineStar suite of technology products
  • Mining Experience is an asset
  • Experience in equipment rental, fleet operations, service coordination, or dealership environment preferred
  • Previous sales, customer service, or financial administration experience considered an asset

Responsibilities

  • Act as a primary point of contact for internal and external rental inquiries.
  • Coordinate and monitor rental fleet implementation, maintenance, and readiness activities across branches and facilities.
  • Prepare and manage work requests, service cases, budgets, and schedules ensuring alignment with quoted work.
  • Track and manage Technology Minestar Hardware location, movement, additions, and disposals.
  • Maintain accurate Technology Minestar Hardware records, maintenance documentation, and compliance requirements.
  • Identify and escalate Technology Minestar Hardware, reliability, or cost risks discovered through service history or repair analysis.
  • Perform the end‑to‑end rental agreement and contract process for new, used, and Technology Minestar Hardware.
  • Create, verify, and manage rental contracts and supporting documentation for rental customers of Minestar Technology Hardware.
  • Maintain accurate rental portfolios and customer pre‑authorized payment information.
  • Coordinate credit reviews and ensure accurate customer and account data.
  • Manage purchase orders and third‑party supplier invoices related to rentals and fleet support.
  • Prepare and process rental invoicing for new, used, and Technology Minestar Hardware rental contracts.
  • Issue credit and debit notes accurately and in a timely manner.
  • Ensure invoice accuracy, month‑end readiness, and adherence.
  • Coordinate daily communication between Sales, Service, Fleet Management, Repair Planning, Finance, Credit, Supply Chain, Warranty, and external vendors.
  • Support connected asset technologies, system updates, and reporting.
  • Maintain accurate data across, Infor SmartOffice, DSP, and related systems.
  • Contribute to fleet performance improvement initiatives and continuous improvement opportunities.
  • Provide cross‑training and back‑up support within the rental coordinator team.
  • Represent Finning in an ethical, professional, and customer‑focused manner.
  • Ensure adherence to Finning policies, procedures, and safety standards.
  • Support regional leadership objectives related to rental operations, utilization, and growth.
  • Set and manage personal objectives aligned with corporate rental performance targets.
  • Build strong internal working relationships and contribute positively to a collaborative team culture.
  • Provide training to team members with the goal of meeting team and organizational objectives.
  • Develop Competency assessments to determine workforce acumen.
  • Develop comprehensive knowledge and experience with Caterpillar MineStar products and product applications.
  • Ensure proper adherence to all Finning policies, including Code of Conduct and Safety.
  • Maintain positive relationships with all customers, external and internal, including suppliers and coworkers, with the goal of ensuring customer satisfaction score which meets current company target.
  • Travel to customer facilities and worksites where and when required.
