The Team Lead, Operations reports to the CSO and is responsible for ensuring the systems, tools, and operational processes that support the business run smoothly and continue to evolve with growth. This role supports the internal infrastructure, oversees operational workflows, coordinates the technology stack and security practices, and supports the systems and tools for delivery teams. Working within a small team, the Team Lead will implement process improvements, support the rollout and optimization of new tools, and advance operational initiatives. This role is for someone who enjoys structuring team work, improving processes through automation, and owning operational systems in a growing company. This is an existing vacancy working remotely within Canada in the Eastern timezone.

Requirements

  • Operations experience in a growing environment. You have experience supporting or managing operations in a professional services, consulting, recruitment, or similar environment. You understand how strong operational systems, documentation, and workflows enable teams to deliver consistent, high-quality work.
  • Strong communication skills and comfort working with clients. You are a clear and thoughtful communicator who is comfortable working directly with clients when needed. You can explain processes, ask the right questions, and collaborate with both internal teams and external partners to ensure delivery runs smoothly.
  • Comfort with technology, automation, and evolving tools. You enjoy working with systems and are comfortable learning new technology quickly. You are open to exploring automation, AI-enabled tools, and new ways of working that improve efficiency and outcomes.
  • Adaptability and curiosity. You are not afraid to figure things out as you go. Whether launching a new client, adopting new technology, or working within a client’s systems, you approach new situations with curiousity, problem-solving, and a willingness to learn.
  • A process improvement mindset. You naturally look for ways to improve how work gets done. You are open to experimenting with new ideas and tools, while also recognizing when something is working well and should simply be strengthened rather than changed.
  • Leadership and collaboration skills. You have experience guiding or supporting others and enjoy helping teams succeed. You lead with empathy, accountability, and clarity while fostering a collaborative and inclusive working environment.

Responsibilities

  • Lead operational infrastructure and internal systems. You will oversee the systems, documentation, and workflows that support TalentMinded’s business and delivery model. You will ensure processes remain organized, efficient, and scalable as we grow, while maintaining strong operational standards across our tools, systems, and internal practices.
  • Support and strengthen our recruitment delivery model. You will develop a strong understanding of how TalentMinded delivers recruitment services and ensure our operational processes and tools support exceptional client and candidate experiences. You will play a key role in launching new client engagements and will work directly with clients to establish effective delivery processes and operational workflows.
  • Own and evolve our technology stack. You will manage the tools that power our business - both those used for recruitment and those supporting our internal operations. You will identify opportunities to improve how these tools are used, introduce automation where it makes sense, and support the rollout and adoption of new technologies.
  • Drive operational improvements and special projects. You will identify opportunities to streamline workflows, improve documentation, and enhance how work moves through the organization. You will lead operational initiatives and special projects, including coordinating client reviews and supporting internal reporting and process improvements.
  • Lead and support the operations team. You will guide a small team responsible for operational coordination, implementation support, and internal initiatives. You will set clear expectations, support development, and foster a collaborative and inclusive environment while ensuring larger operational initiatives continue to move forward.
