Requirements

  • At least 3 years of experience in the disciplinary leadership of operational or administrative teams, including goal setting, feedback, and employee development.
  • You are an experienced leader who takes responsibility for the performance and development of their team.
  • Experience in change management processes, ideally in the restructuring of teams and roles.
  • Experience in steering teams via key figures and confident use of common tools, such as HubSpot, planning tables, CRM, or ticketing systems.
  • A proactive work style: You identify risks and bottlenecks early, find solutions, and implement improvements independently, rather than just following instructions.
  • Experience in cross-functional collaboration, e.g., with Sales, Key Account Management, Product, or Quality Management.
  • Experience working with AI-supported tools and an aptitude for using them strategically to automate and make processes more efficient.
  • Strong organizational skills, a structured way of working, and a high degree of reliability, even under pressure.
  • Fluent German (C1/C2) and English skills (C1).
  • Clear, appreciative communication and enjoyment in developing people.

Responsibilities

  • You will have disciplinary leadership of the team responsible for administrative and logistical processes related to course delivery, service, and examinations for our courses.
  • You will manage your team's performance through clear KPIs, data analysis, and forecasts, set priorities, and derive structural improvement measures.
  • Your goal is a lean, scalable operational structure with clear responsibilities, continuously developed through data-driven automation, while maintaining high reliability and punctuality.
  • Team leadership, people development, and disciplinary responsibility: You lead your team professionally and disciplinarily. You set clear goals and priorities, provide regular feedback, and promote the individual development of your team members.
  • Steering through key figures, OKRs, and data-driven improvement: You steer your team's performance using clear KPIs, including accuracy, SLA fulfillment, throughput time, backlog, and compliance risks. You further develop suitable key figures and trend analyses for your team. You accompany your team's OKR initiatives from goal setting to success measurement, identify bottlenecks and recurring error patterns early on, and quantify the potential of automation projects.
  • Reliable end-to-end implementation and scaling: You are responsible for the continuous, on-time processing of course and exam logistics, from planning to completion. In close exchange with the Course Setup & Service team, you ensure timely course starts and compliance with AZAV guidelines. You plan your team's workload based on volume, deadlines, and dependencies with other teams and ensure a reliable, predictable work rhythm.
  • Processes, automation, and AI-supported workflows: You systematically standardize workflows, reduce manual activities, and thus create the basis for automation. You keep your team's SOPs up-to-date, review them regularly, and adapt them to process changes. You ensure clean, correct data in all systems used and responsibly deploy AI-supported functions to make processes more efficient.
  • Risk and escalation management: You identify early warning signs in backlog, SLAs, and feedback from stakeholders, manage complex escalations confidently, and ensure that preventive measures are derived from incidents. This keeps processes stable even in challenging phases.
  • Cross-functional collaboration: You coordinate closely with the Course Setup & Service team, Sales, Key Account Management, Product, the Application Team, Quality Management, and Exam Planning, as well as with external partners, ensure smooth handovers, and translate new requirements into concrete processes that you track as Project Lead.
  • Change management and organizational development: You actively shape change processes, such as the restructuring of teams and roles, while maintaining your team's planning dynamics and reliability even during structural changes.
