About The Position

The Talent Acquisition Coordinator plays a vital role in delivering a seamless candidate experience by coordinating interviews, managing pre-employment requirements, and supporting Talent Acquisition operations. This role serves as a primary point of contact for candidates, hiring teams, and Talent Acquisition Partners, ensuring timely communication and accurate data entry. The coordinator collaborates cross-functionally with internal teams and external vendors to support hiring and onboarding while maintaining strict confidentiality and exceptional attention to detail. Success in this position requires strong communication and organizational skills, adaptability, and the ability to manage multiple priorities in a fast-paced environment. This role is hybrid, with regular in-office presence in San Diego, CA. Specific location details and expectations will be discussed during the interview process.

Requirements

  • High School Diploma or equivalent required
  • Associates or Bachelor’s degree in Human Resources, Business Administration or 1+ experience as a recruiting coordinator or similar role required
  • Knowledge of employment documentation requirements, including I-9 verification processes, preferred
  • Ability to handle sensitive and confidential information with discretion and professionalism
  • Familiarity with applicant tracking systems (ATS) and recruitment processes
  • Proficiency in Microsoft Office Suite and experience with HRIS systems; Workday experience preferred
  • Comfortable managing a high volume of emails and phone calls
  • Exceptional accuracy, attention to detail and organizational skills
  • Excellent verbal and written communication and interpersonal skills
  • Demonstrated ability to collaborate effectively and professionally with cross-functional teams and build positive working relationships across all levels of the organization
  • Ability to manage multiple priorities and work effectively in a fast-paced environment
  • Adaptability and flexibility to respond to changing business needs and shifting priorities

Responsibilities

  • Serve as a trusted point of contact for candidates, hiring managers, and Talent Acquisition Partners by providing timely communication, professional support, and regular updates throughout the pre-employment process
  • Coordinate and schedule virtual and in person interviews across multiple time zones ensuring a seamless experience for candidates and hiring teams
  • Maintain and ensure the accuracy of applicant tracking systems (ATS), pre-onboarding documentation, trackers, and other recruiting tools
  • Initiate and monitor pre-employment screenings to ensure timely completion and compliance with hiring requirements
  • Collaborate with internal teams to support a smooth and well-coordinated onboarding experience for new hires
  • Manage travel arrangements (flights, lodging, and ground transportation) for candidates attending in-person interviews and new hires participating in orientation
  • Maintain ongoing communication with external vendors to support Talent Acquisition programs and initiatives
  • Review and verify I-9 documentation in person, ensuring compliance with employment eligibility requirements
  • Submit new position requests for review and approval, ensuring timely processing and alignment with organizational procedures
  • Post and maintain open positions both internally and externally, updating postings as hiring needs evolve
  • Prepare and submit monthly expense reports, ensuring accurate and compliant expense reporting and tracking
  • Champion Talent Acquisition workflows and processes, providing guidance and support to internals teams and candidates
  • Monitor shared Talent Acquisition inbox, responding and directing requests to appropriate internal teams
  • Perform additional duties and special projects as assigned
