About The Position

The Talent Acquisition Scheduling Coordinator will support a high-volume Talent Acquisition team by coordinating interviews, managing candidate logistics, and assisting with key recruiting operations for direct hire, contractor, and intern hiring. This role serves as a primary liaison between candidates, hiring leaders, and Talent Acquisition Partners, ensuring a smooth and engaging experience throughout the hiring process. The position is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and wants to build a strong foundation in talent acquisition operations.

Requirements

  • 2+ years of experience in recruiting coordination or talent acquisition support in a professional environment, with a strong sense of urgency.
  • Advanced expertise in Microsoft Outlook, including complex calendar management and scheduling.
  • High proficiency in Microsoft Office products, including Word, Excel, and PowerPoint.
  • Hands-on experience using an Applicant Tracking System (ATS); experience with SAP SuccessFactors and Monday.com is preferred.
  • Demonstrated ability to manage multiple priorities simultaneously while maintaining high attention to detail and strong organizational skills.
  • Ability to communicate in a timely, transparent, and respectful manner and to remain open to other ideas to promote effective collaboration across teams.
  • Proactive approach to work, with the ability to take initiative on daily tasks and longer-term projects.
  • Ability to maintain confidentiality and handle sensitive information with tact and discretion.
  • Customer service mindset with a focus on delivering an excellent experience to candidates, hiring leaders, and internal partners.
  • Experience providing administrative support in a fast-paced, professional environment.

Nice To Haves

  • Bachelor’s degree preferred.
  • Experience working in talent acquisition, recruiting coordination, or HR operations for a high-volume recruiting team.
  • Familiarity with scheduling tools and portals, including Monday.com.
  • Strong stakeholder management skills, with the ability to build and maintain relationships with hiring managers and external partners.
  • Ability to problem-solve and present conceptual information to Talent Acquisition leadership.
  • Comfort working as an onsite representative for Talent Acquisition and serving as a key point of contact for local teams and interns.

Responsibilities

  • Coordinate and schedule virtual and onsite interviews, ensuring all details are accurate and communicated clearly to candidates and interviewers.
  • Book interview rooms, arrange meals when needed, greet candidates onsite, and ensure interview schedules run smoothly and on time.
  • Maintain compliance in the hiring process by ensuring all interview feedback forms are completed and accurately uploaded into the Applicant Tracking System (ATS).
  • Open and post new requisitions on behalf of Talent Acquisition Partners, ensuring each posting complies with internal processes and standards.
  • Utilize the Monday.com scheduling portal to manage and track interview and hiring-related activities.
  • Book candidate travel, manage travel logistics, and collect receipts to support travel reimbursement requests.
  • Act as the liaison between Talent Acquisition and People Operations during the post-offer process to ensure a seamless candidate transition.
  • Serve as the primary liaison for interns based in New Mexico, supporting the intern program and acting as a point of contact for intern-related inquiries.
  • Assist with planning, coordinating, and scheduling intern events and activities.
  • Perform administrative duties as assigned to support the Talent Acquisition team and broader People organization.
  • Complete assigned tasks accurately and on time in accordance with company policies and procedures.
  • Follow established directions and guidelines from leadership to support effective collaboration and successful completion of cross-functional projects.
  • Develop and maintain strong working relationships with key internal and external stakeholders, including hiring managers and contract firms.
  • Collaborate with Talent Acquisition leadership to problem-solve and present conceptual information related to recruiting operations and candidate experience.
