This role exists to ensure the Talent Acquisition process is coordinated, efficient, and responsive, enabling The Salvation Army in Canada to attract and onboard qualified staff in a timely and consistent manner. By supporting key recruitment activities—such as job postings, candidate screening, interview coordination, offers, and onboarding—the role contributes to building a strong workforce that advances the organization’s mission. The position also supports the Talent Acquisition team through project coordination and logistics, helping maintain operational effectiveness and a positive candidate experience.

Requirements

  • Post-secondary school education of 2 years, preferably in Human Resources or Business Administration
  • 2-5 years’ experience in a HR/Talent Acquisition Coordinator or senior administrative position.
  • A strong client-service orientation background is required.
  • Demonstrate exceptional attention to detail with a strong focus on process accuracy and continuous improvement.
  • Organize and prioritize multiple tasks effectively to meet deadlines in a fast-paced environment.
  • Operate proactively and independently with minimal supervision while maintaining accountability for outcomes.
  • Exercise sound judgment, tact, and diplomacy when handling confidential and sensitive information.
  • Build positive working relationships through strong interpersonal and collaboration skills.
  • Communicate clearly and effectively using professional oral and written communication.
  • Align work practices with and actively support the mission and mandate of The Salvation Army in Canada.
  • Occasional travel may be required.

Nice To Haves

  • Experience with Workday Applicant Tracking System (preferred).
  • Bilingualism in English/French (preferred).

Responsibilities

  • Coordinate the end‑to‑end recruitment cycle by posting roles, screening resumes, conducting reference checks, and preparing offers to ensure timely and compliant hiring outcomes.
  • Source qualified candidates by actively engaging job boards, social networks, and recruitment platforms to strengthen candidate pipelines.
  • Maintain accurate, complete, and legally compliant recruitment records, ensuring documentation integrity and ease of access.
  • Administer recruitment logistics by tracking posting and vendor expenses, distributing invoices, and arranging translation services for French job postings as required.
  • Initiate and track onboarding processes to confirm completion of all required employment, compliance, and payroll documentation for new hires.
  • Support organizational onboarding and orientation initiatives by coordinating activities that promote a consistent and positive employee experience.
  • Analyze talent acquisition operations and metrics, preparing reports and recommendations that inform process improvements and strategic decision‑making.
  • Organize meetings and projects by preparing materials, documenting minutes, managing schedules, and providing professional, confidential coordination support to the Talent Acquisition team.
