About The Position

As the Time & Materials (T&M) Billing Specialist, you will report directly to the Billing Manager. Your primary focus will be on T&M billings (approximately 70% of your time), assisting Project Managers with Cost Research and Code Setup (approximately 25%), and handling various other accounting issues (approximately 5%). This role requires daily interaction with Project Managers and customers, emphasizing the importance of building strong working relationships through diplomacy, teamwork, superb communication skills, and a customer service approach.

  • Good communication skills, verbal and written; able to communicate effectively with project managers, customers, co-workers, and executives.
  • 5+ years of experience in billing/accounting.
  • Experience with PDF form filler software.

Nice To Haves

  • Bachelor’s degree in a related field.
  • Construction industry experience is highly desirable.
  • Knowledge of ERP Cost reporting, JD Edwards is preferred.

Responsibilities

  • Assist the Billing Manager in implementing solid, cost-recoverable T&M billings to ensure maximum billing potential.
  • Research and resolve job/project cost issues through investigation and analysis.
  • Prepare monthly billing projections and submit for invoice preparation on a timely basis.
  • Assist PMs with Job Cost reports and analysis, as well as maintaining change order logs.
  • Set up new construction jobs in the system, assigning cost-tracking numbers and communicating with project managers in a timely manner.
  • Maintain regional responsibility for researching issues and explaining/training personnel on the Company's accounting software.
  • Serve as a backup for all billing functions, including invoice entry, document preparation, document storage, and addressing billing/cost-related questions with project managers and sales managers.
  • Learn and become a key user of the industry-specific accounting/project management software.
  • Perform other duties and responsibilities as assigned by the Manager.
