About The Position

The Surgical Scheduling Specialist Lead serves as the primary point of contact for clerical staff, addressing questions and resolving conflicts. This role requires strong organizational and interpersonal skills to effectively manage tasks, prioritize, and collaborate with a diverse range of individuals. The ability to independently identify and solve problems, coupled with excellent verbal, communication, and customer service skills, is essential for success in this position. The lead will also oversee daily operations, monitor workflows, train new staff, and ensure the efficient functioning of front office areas.

Responsibilities

  • Accurately completes EPIC registration for each patient, verifying and updating demographics, screening insurance eligibility, and scanning insurance cards.
  • Performs patient reminder calls and handles live calls for appointment reminders to decrease unused appointment slots.
  • Assists with phones, greets patients, answers calls, and helps patients with scheduling, rescheduling, and creating inbox messages.
  • Performs scheduling for walk-ins.
  • Generates no-show letters through EPIC.
  • Schedules follow-up appointments, referrals, and ancillary services as directed by EPIC provider orders.
  • Returns phone messages and assists patients.
  • Distributes landline faxes to appropriate Clerical and Clinical Teammates.
  • Completes appropriate referral work questions.
  • Ensures patients receive AVS (after visit summary).
  • Completes work notes as directed by the provider.
  • Collects copays and coinsurance at Check out or Check in.
  • Completes standard work for daily deposit and reconciliation.
  • Manages ON Base Patient Documentation Application.
  • Transcribes orders/Enters Referral Orders.
  • Schedules incoming referrals by practice protocols.
  • Completes Prior Authorizations as required.
  • Completes Surgical and Procedural Scheduling in appropriate locations.
  • Completes Surgical and Procedure Prior Authorizations.
  • Completes Referral Work Que Management for outgoing referrals per Standard Work.
  • Distributes Patient Information and Directional handouts for Scheduled Surgeries and Procedures.
  • Releases OR block times as required for blocks not being utilized.
  • Informs patients of Surgical Benefits and Copays.
  • Supervises and supports front desk staff.
  • Assists Practice Manager with daily operations.
  • Monitors daily clerical workflows to ensure timely and accurate completion of tasks.
  • Trains new clerical staff and provides ongoing coaching and development.
  • Monitors performance and provides feedback in coordination with management.
  • Oversees provider scheduling, patient check-in/check-out, phone call handling, and insurance verification.
  • Ensures front office areas are staffed appropriately and function efficiently.
  • Maintains knowledge of office procedures, HIPAA compliance, and billing practices.
  • Handles bank deposits and post office drop offs and pickups, addressing and notifying Practice Manager of Accounting balance issues.
  • Oversees work queues to ensure timely completion.
  • Oversees staff scheduling.
  • Oversees accuracy of MAP documentation, if applicable.
  • Ensures accuracy in patient registration, data entry, and documentation.
  • Monitors appointment scheduling accuracy to optimize provider productivity.
  • Edits provider’s templates as necessary.
  • Knows contacts/processes for downtime, provider call out, etc.
  • Assists with resolving patient complaints or service concerns.
  • Performs monthly consent audits.
  • Manages voicemail and signage for holidays and closures.
  • Oversees phone operations and call answering rate, if applicable.
  • In inclement weather, the lead assists Practice Manager by working from home and managing providers’ schedules.
  • Performs other duties as assigned.
