About The Position

Alliance Spine & Pain is seeking a Surgical Scheduler to join one of its JCAHO-certified ambulatory surgery center teams. This role is crucial for facilitating excellent patient experiences by scheduling and preparing patients for ASC procedures, ensuring efficient utilization of ASC and physicians’ time, and helping to maximize procedure reimbursements from payers. Requirements

  • High School Diploma or GED required.
  • Working knowledge of Microsoft Office and eClinical.
  • Strong customer service skills.
  • Good command of the English language, both verbal and written.
  • Ability to work well with physicians, employees, patients and others.
  • Ability to work independently with detail and accuracy.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several variables.

Responsibilities

  • Creates and monitors all ASC procedures for the Center, within the constraints of provider templates.
  • Ensures that procedure orders are in alignment with payers’ medical necessity guidelines and communicates with providers and the Precert department to resolve issues.
  • Coordinates timing of procedures with pre-certification availability and sends pre-certification requests to the Precert department at the time of scheduling.
  • Sends specific referral types (SCS, DRG, PNS, pain pump, Vertiflex, etc.) directly to the Neuromodulation Coordinator.
  • Maintains communication with the Front Office Manager and Regional Administrator regarding scheduling conflicts and resource limitations.
  • Calls patients to reschedule procedures when necessary, compassionately addressing their scheduling conflicts.
  • Meets with patients to review treatment plans, discuss payer requirements, go over pre-procedure instructions, and answer questions.
  • Ensures the Surgical Coordination Checklist and Pre-Procedure instructions are completed, signed, and dated by the patient and a witness.
  • Completes review of payer requirements by the end of the day if not done during the patient visit and informs the provider of any issues.
  • Works with management to balance the schedule and monitors for potential problems or areas for improvement.
  • Acts as a first line of defense to check if orders, benefits, and patient surgical history coordinate for payable claims.
  • Confirms procedures (may not apply in all Centers).
  • Reschedules cancelled/no-show procedures.
  • Performs other duties as assigned.
