About The Position

The Surgical Admissions staff are the first people a patient meets in the Surgery Center and is responsible for greeting patients who are checking in to the ASC. Surgical Admissions staff provide support in conjunction with the OR staff and patients throughout the operative day. This position generally works a rotating schedule four days per week Monday – Thursday between 6:15 a.m. – 5:00 p.m. with a variable day off each week. Flexibility in schedule is needed in order to meet business goals and provide exceptional patient service.

Requirements

  • Exceptional customer service skills and demonstrated ability to speak clearly and concisely using proper grammar, spelling, and punctuation.
  • Strong computer skills and demonstrated ability to navigate multiple databases is required.
  • High school diploma or equivalent is required.
  • Employment with Maine Eye Center contingent upon the successful completion of a background check, which may include verification of employment history, education, criminal record, and other factors, as required by law and company policy.
  • A criminal record does not automatically disqualify candidates from employment; each case will be reviewed individually in accordance with job-related criteria and legal requirements.

Responsibilities

  • Tracking charts as they are received in the ASC and providing updates on what is missing to ensure the quality assurance (QA) process is completed in a timely manner
  • Performing quality assurance checks on all surgical charts ensuring patient demographics are correct, the surgery is booked correctly, there are no discrepancies throughout the chart, etc.
  • Tracking errors found during the QA process to ensure they are corrected prior to surgery to maintain compliance
  • Preparing Patient Identification Labels and Anesthesia Records for all surgery patients
  • Performing a final check, the day prior to surgery to ensure all errors have been corrected and adding the Pre-Admissions Testing Health Assessments and Anesthesia Records to each patient’s chart
  • Compiling and sending Anesthesia Records to Spectrum Billing daily
  • Checking patients in for surgery on surgical date
  • Signing visitors in and out of the ASC
  • Maintaining effective communication with the OR and Surgical Booking staff, regarding changes in patient schedules and missing information prior to surgery
  • Providing exceptional customer service
  • Learning and following organizational policies and procedures
  • Speaking clearly and concisely and using proper grammar, spelling, and punctuation
  • Establishing and maintaining effective working relationships with patients, employees and the public
  • Exercising good judgment, initiative, and possessing problem-solving skills
  • Communicating professionally with internal and external contacts and patients
  • Providing attention to detail and accuracy in a fast paced, multi-tasking environment is essential
  • Other duties as assigned by supervisor
