About The Position

River Valley Holdings is a family-owned food distribution company based in Syracuse, NY and serving retail customers across the northeastern United States. The River Valley family of companies: River Valley Foods, Cavallaro Foods and Empire Valley, distribute a wide range of specialty dry and frozen grocery items out of warehouses in Syracuse, NY. The Supply Chain Coordinator position reports directly to the Supply Chain Group Manager and supports the Purchasing team through a range of operational and administrative tasks, including data entry, reporting, maintaining accurate item and vendor records, and providing clear and consistent communication across departments. Success in this role is driven by a well-organized, detail-oriented approach, combined with proactive communication, professionalism, and the ability to effectively prioritize tasks. The Supply Chain Coordinator role is an hourly, in-office position located in Syracuse, NY.

Requirements

  • Associate degree preferred or equivalent level of education and related experience.
  • Strong data entry skills, able to work in multiple systems (ERP, Microsoft Suite, and Legacy programs)
  • Strong organizational skills and attention to detail.

Responsibilities

  • Maintain a centralized database of vendor purchase orders, ensuring consistent communication of delays, changes, and updates to the Supply Chain Managers as orders are confirmed and processed.
  • Track and follow up on outstanding vendor acknowledgments, shipping confirmations, and backorder statuses.
  • Enter, update, and maintain item master data in the ERP system with a high degree of accuracy and efficiency. Verify information for completeness and consistency, identify discrepancies, and follow established procedures to ensure data integrity across purchasing, sales, and operational systems.
  • Perform ongoing maintenance of item and vendor records, ensuring information is accurate, up to date, and consistently maintained across systems.
  • Ensure vendor records and item setups meet company, regulatory, and food safety compliance standards.
  • Develop and apply a general understanding of the day-to-day operations within the Sales and Purchasing departments.
  • Assist in preparing documentation for internal meetings, vendor communications, and cross-departmental updates.
  • Respond to daily issues, inquiries, and internal requests with professionalism, urgency, and thorough follow-through.
  • Support purchasing initiatives by compiling data and identifying discrepancies in vendor or item performance.
  • Collaborate with cross-functional teams (e.g., Sales, Logistics, Warehouse teams).
  • Perform additional job duties as required by the Supply Chain Group Manager or Purchasing Team.
