About The Position

In this role, Volunteer Supervisor, you will be responsible for championing the Volunteer Services at Island Hospital which includes creating, initiating and maintaining the volunteer program. This position will collaborate with Hospital leaders and staff to develop, implement and match volunteers to opportunities throughout the organization. Responsibilities will include recruiting, interviewing, placing, training, evaluating and scheduling volunteers to align with department requests. The Supervisor of Volunteer Services is responsible for maintaining all volunteer records to ensure ongoing compliance with onboarding and annual facility requirements.

Requirements

  • Knowledge of personnel practices to coordinate the operations of a volunteer department and formulate goals and objectives consistent with Island Health guidelines.
  • Skill in establishing and maintaining effective working relationships with volunteers and the public including knowledge of the community and its’ potential sources of volunteers.
  • Skill in exercising a high degree of initiative, judgment, discretion and decision making to achieve organizational objectives.
  • Ability to create an atmosphere which encourages innovation and high performance. Ability to delegate responsibility to volunteers and making certain tasks are competed to satisfaction.
  • A minimum of three (3) years of experience in volunteer coordination required, with previous experience in a healthcare setting strongly preferred.
  • Previous experience working in a supervisory / managerial level encouraged.
  • Bachelor’s degree in Human Services, Behavioral Sciences, Communication, Business or Healthcare Administration required; comparable work experience may be considered in lieu of education.

Nice To Haves

  • Knowledge of management principles and theories preferred.
  • Knowledge of the budgeting process preferred.

Responsibilities

  • Maintains an attitude consistent with community focus, teamwork, communication, personal accountability, performance improvement and adaptability.
  • Demonstrates knowledge of interview techniques and the ability to discern input from contacting recommendations, WSP and disclosure statements.
  • Monitors the Volunteer Department budget in accordance with the Director’s policies and procedures.
  • Works with all Island Health department managers to assess the placement of volunteers—when appropriate—and to assist other departments with daily operations, new programs, schedules and concerns regarding a volunteer.
  • Regularly checks in with volunteers regarding their placement or volunteer experience. Provides feedback or concern and resolution to department supervisor routinely.
  • Orients new volunteers and participates in public speaking to address new volunteers.
  • Maintains accurate records reflecting the scope and hours of each member of the volunteer corp.
  • In cooperation with department supervisors, evaluates each volunteer and the program annually.
  • In cooperation with the director, designs, implements, and evaluates annual event to recognize Volunteer contributions.
  • Updates volunteers in a timely fashion, conveying changes to policies and procedures.
  • Provides support to the Director of Marketing & Communications.
  • Works with the Marketing & Communications department to schedule recognition events. Participates in, or provides volunteers as needed to health screening events, health fairs, and other public community-based Island Health events.
  • Interacts positively with Volunteers, Clients, Patients, Physicians, Administration, Directors, Managers, Supervisors, Peers, Co-Workers and other departments.
  • Portrays Island Health’s CARES values and supports the organization’s philosophy of continuous quality improvement.
  • High level of interpersonal skills; must be able to relate to individuals of varying ages, backgrounds, skills and abilities.
  • Ability to complete performance reviews and other administrative paperwork in a timely and accurate manner.
  • Ensures compliance with all established Island Health policies, procedures and guidelines.
