About The Position

The Digestive Health Office Supervisor leads daily front- and back-office operations for a high-volume GI practice, ensuring exceptional patient access, safe and efficient clinic flow, and compliant coordination of endoscopy procedures. This role directly supervises patient access staff (front desk, call center), medical assistants, and care coordinators; partners closely with providers, sterile processing/reprocessing teams, anesthesia, and the endoscopy center; and drives performance in scheduling accuracy, prior authorization, revenue cycle capture, and patient experience.

Requirements

  • High-volume GI practice experience
  • Experience with front- and back-office operations
  • Experience supervising patient access staff (front desk, call center), medical assistants, and care coordinators
  • Experience partnering with providers, sterile processing/reprocessing teams, anesthesia, and endoscopy centers
  • Experience driving performance in scheduling accuracy, prior authorization, revenue cycle capture, and patient experience
  • Experience managing GI procedure scheduling, verifying indications, prep instructions, bowel prep distribution, and procedure readiness
  • Experience coordinating with endoscopy centers on block utilization, case sequencing, pre-op requirements, and post-procedure follow-up workflows
  • Experience ensuring accurate patient education on prep, diet, medication holds, ride requirements, and arrival times
  • Experience monitoring waitlists and executing outreach campaigns for open blocks or late cancellations
  • Experience supervising referral intake, triage, and scheduling for clinic visits and procedures
  • Experience ensuring timely chart prep and completion of pre-requisites (labs, imaging, pathology, prior GI records)
  • Experience maintaining scheduling templates aligned to provider preferences and payer rules
  • Experience enforcing slot utilization standards and patient readiness checks
  • Experience overseeing prior authorization and benefits verification for procedures, biologics/infusions, motility testing, and diagnostics
  • Experience leading RL reporting, service recovery, conducting safety huddles and monthly audits
  • Experience assisting managers in conducting 1:1s and huddles
  • Experience setting clear goals and development plans
  • Experience recognizing performance and addressing performance gaps
  • Experience fostering a culture of empathy, inclusion, accountability, and continuous improvement
  • Experience ensuring accurate registration, insurance capture, referrals, authorizations, medical necessity documentation, charge reconciliation, and daily close procedures
  • Proficiency with Cerner

Responsibilities

  • Oversee daily clinic operations (check-in/out, rooming readiness, MA assignments, templating, add-ons) to meet provider productivity and cycle-time targets.
  • Manage GI procedure scheduling, verify indications, prep instructions, bowel prep distribution, and procedure readiness; minimize cancellations/no-shows.
  • Coordinate with endoscopy center on block utilization, case sequencing, pre-op requirements, and post-procedure follow-up workflows.
  • Ensure accurate, teach-back-based patient education on prep, diet, medication holds (e.g., anticoagulants, GLP-1s per practice policy), ride requirements, and arrival times.
  • Monitor waitlists; execute outreach campaigns for open blocks or late cancellations to optimize access.
  • Supervise referral intake, triage, and scheduling for clinic visits and procedures; ensure timely chart prep and completion of pre-reqs (labs, imaging, pathology, prior GI records).
  • Maintain scheduling templates aligned to provider preferences and payer rules; enforce slot utilization standards and patient readiness checks.
  • Oversee prior authorization and benefits verification for procedures, biologics/infusions, motility testing, and diagnostics.
  • Lead RL reporting, service recovery, conduct safety huddles and monthly audits (prep instruction accuracy, consent readiness, med reconciliation flags).
  • Assist manager in conducting 1:1s and huddles; set clear goals and development plans; recognize performance; address performance gaps promptly and fairly.
