The Summer Student, Community Engagement Administrative Assistant provides key administrative support to the Community Engagement team, with a primary focus on volunteer intake and recruitment. This role supports daily operations by responding to phone, email, and in-person inquiries, tracking volunteer hours, and maintaining schedules within the volunteer management system to ensure accurate and efficient coordination of EHS volunteers.

Requirements

  • High School Diploma required.
  • Currently enrolled in, or completion of, post-secondary education in Administration, Office Management, Non-Profit Studies, or a related field is considered an asset.
  • Some experience in administrative, customer service, or volunteer-related roles is an asset
  • Experience in a fast-paced or public-facing environment is preferred
  • Familiarity with databases or volunteer management systems (e.g., Rosterfy) is an asset
  • Experience in a non-profit or community-based setting is considered an asset
  • A strong interest in supporting volunteers while contributing to positive animal welfare outcomes.
  • Strong organizational and communication skills.
  • Ability to work collaboratively in a team-oriented environment.
  • Willingness to learn and grow within a community engagement setting.
  • An interest in gaining hands-on experience in volunteer program operations is also important.

Responsibilities

  • Review and process new and incomplete volunteer applications using the volunteer database (Rosterfy)
  • Respond to volunteer inquiries via phone, email, and in person
  • Assist volunteers with logging hours and registering for shifts
  • Prepare onboarding packages for new volunteers
  • Track attendance, including missed commitments and excused absences
  • Conduct interviews for applicable volunteer roles
  • Provide general administrative and office support
  • Assist in creating and distributing volunteer communications
  • Generate basic reports and track volunteer data for the department
  • Support coordination of internal and external events
  • Perform other related duties as required
