About The Position

The Student Worker - Administrative Office Worker supports the Seminary's Administrative Wing offices of the staff and administration. This work-study employee will perform basic clerical tasks such as photocopying, typing, running errands, and mailings, and will assist office staff with additional tasks and projects. The student worker will work closely with the Administrator for Budgets and Financial Operations, Assistant to the Rector/Dean and Vice Rector, and Coordinator of Events & Facilities Management. The position requires working in one to two hour blocks of time on each weekday between 8:30 AM and 4:30 PM.

Responsibilities

  • Perform basic clerical work such as photocopying, typing, running errands, and mailings
  • Assist office staff with additional tasks and projects
  • Work closely with the Administrator for Budgets and Financial Operations (Ewa Bracko), Assistant to the Rector/Dean and Vice Rector (Debbie Kurus), and Coordinator of Events & Facilities Management (Maria McIlvaine)
  • Work in one to two hour blocks of time on each weekday any time between 8:30 and 4:30
  • Introduce self to faculty, administration, and staff at the beginning of each semester by sending work schedule, contact information, and basic guidelines for copying requirements
  • Enter start time on the Student Employee Timesheet at the beginning of each shift
  • Check the mail room for any copy work requests in the copy request bin
  • Prioritize and complete copy requests at the beginning of the shift
  • Use the copy machine code for business-related copying only, not for seminarians' personal and school related work
  • Follow instructions on the copy machine screen for error messages (e.g., paper jams)
  • Consult the manual in the bin on the right side of the copy machine for information and/or instructions if needed
  • Replace the toner cartridge when the copy machine indicates the need (after initial instructions from Maria McIlvaine)
  • Ensure completion of all photocopying work as a priority
  • Check with the Assistant to the Rector/Dean and Vice Rector, Administrator for Budget and Financial Operations, and Coordinator of Events & Facilities Management for additional work if no copy requests are present
  • Re-stock all paper trays with copy paper (8.5" x 11" and 8.5" x 14")
  • Check the supply room for back-up supplies of all paper used for copying
  • Procure the storage room (#19) key from staff personnel and restock the supply room shelves if there are less than two packages of each type of paper
  • Complete the time card on the Student Employee Timesheet side at the end of the shift, entering the time work began and finished
