About The Position

This role supports students and multiple departments as first point of contact for the Student Services, Employment or Financial Aid departments. This position serves as the primary record keeper for student records in compliance with all State and Accreditation Standards. Additionally, this role is responsible for a variety of administrative tasks geared towards the general support of support departments to ensure students receive the proper customer service and that tasks are completed timely and accurately for the team.

Requirements

  • High school diploma or completion of GED required
  • Two years’ experience with customer service and basic administrative tasks
  • Two years’ experience with file management, record keeping or auditing.
  • Strong interpersonal, oral and written communication skills.
  • Demonstrated, strong organizational skills.
  • Knowledge of basic computing and word processing applications.
  • Intermediate speed in 10-key.
  • Ability to plan and adapt to change.

Responsibilities

  • Thoroughly audits all new student files to ensure appropriate and required documentation is received according to ACCSC and state standards.
  • Reviews and approves standard diplomas. Those requiring additional research will be escalated to the Student Services Director.
  • Monitors student traffic for multiple departments and notifies staff when students arrive for appointments.
  • Answers multi-line phone system in a professional manner and directs calls to the appropriate party.
  • Updates and maintains all student files including scanning and linking as needed.
  • Responsible for various data entry tasks within the department ensuring accuracy and timely processing at all times, including registration forms, FERPA forms, etc.
  • Responsible for all functions of graduation or helps support these functions (i.e. ordering cap and gowns, ensuring accuracy of graduate) and partnering with other departments regarding changes, printing diplomas, coordinating the setup of the graduation ceremony, printing graduation programs, preparing students for the graduation ceremony, etc.
  • Responsible for issuing a variety of reports for the department and for students to include progress reports, updating local discount information and department bulletin boards.
  • Sends out all mailings for the Department and date stamps and disseminates large volume of mail to appropriate staff.
  • Acts as the backup to various coordinator roles within the department as needed.
  • Other duties as necessary
