About The Position

Student employees are needed to assist the Administrative Assistant in supporting the day-to-day functions of the Office of Student Affairs. This role involves greeting visitors, answering phones, copying and scanning documents, running errands, and assisting the Assistant Vice President and the Vice President of Student Affairs with other assigned duties. The student employee will also be present in the absence of the Administrative Assistant. This position is for one academic year and offers a maximum of 20 hours per week during Fall and Spring semesters, with some flexibility around the student's class schedule. Students may often do homework during downtime.

Requirements

  • Student must be enrolled in at least six credit hours during the Fall/Spring semesters.
  • Must be enrolled in one summer course or be registered in at least six credit hours for the following Fall semester to work during the Summer semester.
  • At time of hire, the student has a minimum cumulative GPA of 2.0 or is first semester enrolled at Oakton.
  • Student can show proof of eligibility to work in the United States.
  • Student is making satisfactory progress toward achieving their educational goals.
  • Pleasant personality.
  • Good communication skills.
  • Ability to operate office equipment.
  • Must be able to take detailed phone messages and keep accurate records.
  • Must be able to handle sensitive and confidential information, and follow all federal, state and institutional laws including the Federal Educational Rights and Privacy Act (FERPA).
  • Critical interpersonal skills required.
  • Ability to handle serious/difficult situations.
  • Capacity for appropriate decision making that goes beyond office work.

Responsibilities

  • Answer phones and interact in person with students and staff in a professional manner, answering basic questions and relaying messages to upper management.
  • Adjust work schedule to accommodate other staff in the office.
  • Run errands for the office.
  • Assist Student Affairs' Administrative Assistant with seasonal office duties.
  • Copy and scan documents.
  • Learn phone functions.
  • Demonstrate the ability to work with everyone in a fair, respectful, and equitable manner.
