About The Position

This role is responsible for supporting daily sales and program activities for assigned strategic customers, ensuring tasks stay on track. The specialist will maintain program trackers, customer requirements lists, open order logs, and follow-up action items. They will also assist with scheduling, delivery updates, and coordination between Sales, BD, Operations, and Supply Chain, and help prepare materials for customer calls, reviews, or internal update meetings. Additionally, the role involves preparing and updating quotes for strategic customers, entering and revising pricing, quantities, surcharges, releases, and terms, and partnering with BD and the Strategic Program Manager to confirm commercial details before quote submission. The specialist will also serve as a day-to-day customer contact for order status, delivery dates, changes, and general inquiries, entering orders, verifying accuracy, and coordinating with Operations. They will monitor open orders, prioritize urgent requests, and proactively identify delays or issues, while building positive relationships with customer contacts. The role includes preparing, organizing, and maintaining program-related documentation, tracking routing, signatures, and storage, and managing shared folders and program files. Furthermore, the specialist will update and maintain weekly sales reports, program dashboards, forecast sheets, and KPI summaries, pull various reports for leadership or BD, and ensure accurate data entry in Salesforce, Stratix, and other program tools. They will also collaborate closely with various internal departments to ensure alignment with customer expectations and support the Strategic Program Manager on major commercial efforts.

Requirements

  • Proficiency in supporting daily sales and program activities for strategic customers.
  • Ability to maintain program trackers, customer requirements lists, open order logs, and follow-up action items.
  • Skills in preparing and updating quotes, including multi-line and repeat business.
  • Experience in entering, revising, and ensuring accuracy of pricing, quantities, surcharges, releases, and terms.
  • Capability to serve as a day-to-day customer contact for order status, delivery dates, changes, and inquiries.
  • Proficiency in entering orders, verifying accuracy, and coordinating with Operations.
  • Ability to monitor open orders, prioritize urgent requests, and identify delays or issues.
  • Experience in maintaining accurate backlog, customer preferences, expediting requests, and inventory needs.
  • Skills in building positive relationships with customer contacts.
  • Experience in preparing, organizing, and maintaining program-related documents (NDAs, SOWs, pricing sheets, forecasts, amendments).
  • Ability to track routing, signatures, and storage of documentation.
  • Proficiency in managing shared folders, program files, and customer documentation.
  • Experience in updating and maintaining sales reports, program dashboards, forecast sheets, and KPI summaries.
  • Ability to pull sales history, quote activity, backlog, and margin reports.
  • Proficiency in data entry and tracking in Salesforce, Stratix, and other program tools.
  • Skills in identifying data inconsistencies, trends, risks, or customer needs and escalating appropriately.
  • Ability to collaborate with BD, Sales, Operations, Supply Chain, Quality, and Finance.
  • Experience in communicating program updates, customer changes, and sales priorities to internal teams.
  • Skills in supporting major commercial efforts, including quote packages, LTAs, multi-line bids, and pricing updates.

Responsibilities

  • Maintain updated quote history and pricing files for assigned accounts.
  • Serve as a day-to-day customer contact for order status, delivery dates, changes, and general inquiries.
  • Enter orders, verify accuracy, and coordinate with Operations to confirm cut schedules, ship dates, and capacity.
  • Monitor open orders, prioritize urgent requests, and proactively identify delays or issues.
  • Maintain accurate backlog, customer preferences, expediting requests, and inventory needs.
  • Build positive, responsive relationships with customer buyers, planners, schedulers, and program contacts.
  • Prepare, organize, and maintain documents such as NDAs, SOWs, pricing sheets, forecasts, and amendments.
  • Track routing, signatures, and storage of program-related documentation.
  • Manage shared folders, program files, and customer documentation to ensure they remain current and audit-ready.
  • Update and maintain weekly sales reports, program dashboards, forecast sheets, and KPI summaries.
  • Pull sales history, quote activity, backlog, and margin reports for leadership or BD as needed.
  • Ensure accurate data entry and tracking in Salesforce, Stratix, and all program tools.
  • Identify data inconsistencies, trends, risks, or customer needs and escalate when appropriate.
  • Work closely with BD, Sales, Operations, Supply Chain, Quality, and Finance to ensure alignment with customer expectations.
  • Communicate program updates, customer changes, and sales priorities to internal teams.
  • Support the Strategic Program Manager on major commercial efforts — including large quote packages, long-term agreements (LTAs), multi-line bids, pricing updates, and related customer submissions.
