Our Cranial & Spinal Technologies (CST) operating unit advances surgical care for spine and cranial conditions through an integrated ecosystem of implants, navigation, robotics, imaging, and planning tools. Platforms like AiBLE enhance precision, efficiency, and outcomes for complex procedures worldwide. We are seeking a Strategic Meeting Planning Specialist to join the CST Field Education & Training team at Medtronic. In this highly visible role, you will lead the end-to-end planning and execution of key training programs, most notably our Stealth AXiS and Cranial Workflows portfolios, while supporting broader commercial education initiatives including elements of CST National Sales Meeting (NSM). This role is ideal for a highly organized, strategic, and execution-focused professional who thrives in a fast-paced environment and can seamlessly balance logistics, stakeholder alignment, and elevated attendee experience.

Requirements

  • Minimum Requirements High School Diploma or equivalent with 4+ years of relevant experience in meeting or event planning or equivalent experience (OR Associate's Degree with 2+ years experience OR Baccalaureate Degree with 1+ year(s) experience).
  • Possess unrestricted U.S. work authorization at the time of hire and for the duration of employment.

Nice To Haves

  • Diploma in event planning, business, marketing, communications, or advertising
  • Meeting planning or conventions experience in the medical device or healthcare industry
  • CMP (Certified Meeting Planner)
  • Vendor management experience
  • Advanced Microsoft Office Suite experience and familiarity with other tools such as Cvent, Workfront, Concur, would be helpful

Responsibilities

  • In compliance with Medtronic policies and relevant regulations, plan and organize internal business-related meetings, training courses and program events by working with meeting stakeholders to align and execute against strategic direction (e.g., meeting objectives, desired outcomes, intended audience, content coordination, creative and innovative engagement techniques).
  • Address all aspects of budget and billing, including development of and tracking against budgets, identification and capture of cost savings/cost avoidance efforts, reconciling master bill, coordinating payments to vendors, and managing meeting expenses.
  • Investigate, source, negotiate, and coordinate hotel and ancillary meeting services (includes contractors, vendors, onsite staff) while managing all logistics of program functions, including but not limited to meeting space set-up, catering, arrangement of ground transportation.
  • Select, book, and coordinate AV/Production and Auxiliary Technical Services (e.g., mobile applications, audience response systems, polling/surveys) to ensure successful execution and evaluation of meetings.
  • Facilitate attendee experience through website & registration site design, event promotion and communication, and attendee management to support needs related to meeting attendance (e.g., accommodation requests, RSVPs for sessions, travel manifests).
  • Generate, analyze, and communicate event-level and cross-event reporting against identified key meeting metrics and value-proposition indicators, as needed.
  • Provide on-site host & support to all guests, ensuring concierge-level hospitality and service during all events. Host responsibilities include receiving guests upon arrival, facilitation of executive host interactions, meeting transitions, and oversight of all logistics.
