About The Position

The Stewardship and Engagement Coordinator is a mission-driven professional who embraces the values of Tampa Catholic High School and understands that meaningful engagement and stewardship begin with strong constituent relationships and accurate data management. This individual serves as a steward of constituent information, ensuring that parent, donor, and volunteer interactions are accurately captured, maintained, and leveraged to strengthen engagement with the school. The Coordinator is a proactive self-starter with experience in constituent relations, donor stewardship, data management, and community engagement, possessing strong proficiency in Google Workspace, Microsoft Office, X2VOL, Raiser’s Edge, or similar constituent relationship management systems. Working collaboratively with the Advancement team, this position supports the implementation of Tampa Catholic's strategic advancement priorities by transforming constituent data into actionable engagement and stewardship strategies. Through reporting, communication, and relationship tracking, the Coordinator helps identify opportunities for meaningful involvement, strengthen connections with families, and support a culture of philanthropy. A key responsibility of this role is leading and supporting the Crusader Parents Club and administering the Parent Involvement Program. Through thoughtful communication, volunteer coordination, participation tracking, and engagement reporting, the Coordinator helps foster a vibrant parent community that is actively invested in the life and mission of Tampa Catholic. Ultimately, this position serves as a bridge between constituent data, parent engagement, and philanthropy, helping ensure that every family feels known, valued, and connected to Tampa Catholic's mission while cultivating a strong pipeline of future volunteers, advocates, and donors.

Responsibilities

  • Maintain the integrity and accuracy of constituent records within Raiser's Edge and other Advancement systems, while promoting best practices, providing ongoing support and training, and encouraging consistent system utilization across the Advancement team.
  • Create, update, and manage constituent records, gift entries, queries, reports, and mailing lists.
  • Generate customized reports and dashboards to support advancement initiatives, stewardship efforts, and strategic decision-making.
  • Track constituent engagement and participation metrics to identify opportunities for deeper involvement and relationship-building.
  • Ensure timely processing of gifts, acknowledgments, and related stewardship documentation.
  • Manage and administer the Crusader Parent Involvement Program through the X2VOL platform.
  • Recruit, train, coordinate, and steward parent volunteers in support of school programs, events, and initiatives.
  • Communicate volunteer opportunities and engagement activities to parents.
  • Track, verify, and report parent volunteer participation and service hours.
  • Review and approve volunteer service hours within X2VOL.
  • Provide monthly parent service hour reports and collaborate with the Finance Office regarding billing when applicable.
  • Update and maintain volunteer opportunities within X2VOL.
  • Partner with Human Resources to ensure required Safe Environment credentials are current for volunteers serving in applicable roles.
  • Work with the Communications Coordinator to promote volunteer opportunities, recognize outstanding volunteers, and communicate parent engagement initiatives.
  • Foster a welcoming and mission-centered volunteer experience through ongoing communication, recognition, and stewardship.
  • Support the implementation of Tampa Catholic's Advancement Strategic Plan through stewardship, engagement, and fundraising initiatives.
  • Collaborate with the Director of Advancement, Director of Annual Giving, and Director of Constituent Relations and Special Events to support annual giving campaigns and donor stewardship efforts.
  • Assist in developing segmented constituent lists for fundraising appeals, stewardship initiatives, and engagement communications.
  • Attend Advancement events as needed to support donor cultivation, stewardship, and relationship-building.
  • Assist with donor recognition and stewardship activities, including personalized outreach and acknowledgments.
  • Assist with the planning, coordination, execution, and volunteer support of Advancement events and school-sponsored engagement activities.
  • Support parent engagement opportunities associated with school and Advancement events.
  • Foster a culture of engagement by encouraging faculty and staff participation in school initiatives, volunteer opportunities, advancement events, and community-building activities.
  • Collaborate with Advancement and Communications staff to strengthen constituent participation across key school initiatives.
  • Perform other duties as assigned.
