About The Position

Hitachi Rail Canada Inc. is seeking a Project Management Intern (Fall 2026) for a full-time, hybrid position in Montreal, Quebec, Canada. This internship offers a unique opportunity to gain hands-on experience in project management within the rail industry, contributing to digital transformation and innovation. The role involves providing administrative and operational support to Project Managers and Directors on assigned projects, including the Montreal Blue Line project. Requirements

  • Currently enrolled in a program, preferably in engineering.
  • Proficiency in French and English, both spoken and written. English/French bilingualism is mandatory.
  • Accurate and efficient administrative skills with attention to detail.
  • Strong organizational skills and ability to balance multiple priorities.
  • Excellent written and oral communication skills.
  • Excellent interpersonal skills.
  • Ability to interact effectively with colleagues, managers, clients, and subcontractors.
  • Advanced computer skills - MS Office (Excel, Word, PowerPoint).
  • Ability to work independently with little supervision.

Responsibilities

  • Provide administrative support to Project Manager(s)/Project Director(s) and the Project Management Office Director.
  • Support the launch of new projects by following project initiation instructions.
  • Organize project meetings, prepare agendas and minutes, record attendance, and distribute action logs and meeting notes.
  • Maintain a filing system for meeting minutes in the shared repository.
  • Update the project calendar in MS Outlook.
  • Arrange travel and prepare travel expense reports.
  • Assist in preparing weekly and monthly reports, including key risks, issues, and open actions.
  • Ensure all necessary project documentation is completed and saved.
  • Provide logistical support to the project team (Project Manager, Project Engineer, Planner).
  • Organize travel for the project team.
  • Track Material Status Reports (MSR) for assigned projects.
  • Compile timesheets for assigned projects (PO numbers, WBS).
  • Organize catering, printing, and office supplies.
  • Adhere to financial guidelines and instructions from the finance department; process accounts payable invoices promptly; submit general purchase requisitions as needed.
  • Follow corporate/departmental guidelines for events (e.g., LiveLink, Clearview, Shared Services).
  • Assist with event logistics, including coordination with the event coordinator.
  • Support Document Management: Maintain an updated register for incoming and outgoing correspondence; track submission flow.
  • Assist in organizing project documentation and establish a reliable digital storage system for internal documents.
  • Periodically maintain project documentation on SharePoint.
  • Ensure consistency of project information on the data repository.
  • Support configuration management tasks.
  • Support Project Communications: Assist in creating project presentations, timelines, and other reports.
  • Prepare and update the Operational Report (OPS).
  • Keep the list of contractual deliverables up-to-date.
  • Coordinate and maintain updated contact information for the client and ensure consistency in communication across provided tools (Axonex, Asite, EDMS, Unifier).
  • Support Project Reporting Activities: In support of the project manager, prepare project progress reviews (using appropriate templates, gathering necessary information, following up on the action plan).
  • Ensure Business Continuity: Provide support or replace the Project Manager, if necessary.
